Benefits to You

Position Highlights
The
Linn County Circuit Court
in Albany, Oregon, is hiring an Operations Supervisor (Supervisor 2).
Much of your day will be spent assigning and reviewing work of fourteen staff and overseeing dockets for 6 courtrooms. As the supervisor, you will have a broad understanding of OJD’s rules, policies, and procedures at the organization-level, as well as a deep understanding of the court’s local business processes, rules, policies, and procedures.
You will assist in recruiting and hiring staff, as well as train, coach, and implement work plans when needed. You will advise the TCA and judges regarding operational problems or concerns when applicable. You will review and approve monthly timesheets for accuracy and submit them to payroll. You will also monitor your and your staff’s workloads and provide support, resolve issues with case status, or find solutions to problems when needed. You will be a resource to the court, including judges, to ensure matters move as quickly and smoothly as possible through Oregon’s court system.
Additionally, you will supervise, monitor, and coordinate calendars for five judges and one Hearings Referee in all case matters. Assign yearly court sessions and adjust daily rotating courtroom trial and hearing assignments for all judges and a hearings referee. You will also monitor the Court Language Access Services (CLAS) interpreter schedule and cases requiring transport of inmates for court appearances; monitor the jury schedule weekly; monitor staffing needs and adjust as needed.
Lastly, you will use established policies and procedures to perform your work and ensure statutory requirements are met. Most importantly, you will be part of our judicial system that ensures people’s cases are heard impartially and in a timely manner.
Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications
(These must be evident in your resume or work history.)
The qualified candidate must have a bachelor’s degree in court administration, management, business or public administration, or a closely related field.
OR
Four (4) years of progressively responsible supervisory or staff-support experience. Qualifying OJD experience would be at the equivalent of Court Operations Associate or above.

Note: Four (4) years of recent experience supervising, directly or through lead workers, staff performing a wide variety of clerical or administrative support duties must include most, or all, of the following:
  • developing work procedures,
  • hiring or recommending hiring,
  • training,
  • assigning and reviewing work,
  • evaluating performance,
  • responding to staff concerns, and
  • handling disciplinary actions.

Any combination of
education and experience
equivalent to four (4) years of experience that typically supports the knowledge, skills, and abilities needed for this position.

  • Experience supervising staff directly, including training, motivating, effectively communicating, assigning and evaluating work, and handling discipline.
  • Experience presenting information clearly and logically, both verbally and in writing to both small- and medium-sized groups of people.
  • Experience explaining rules, policies, procedures, and decisions.
  • Experience creating and developing, or revising, business processes.
  • Experience evaluating statutory, rule, or system changes to ensure rules, processes, or procedures are compliant and meet all necessary requirements.
Working Conditions
  • This is a full-time FLSA-exempt position, and the work schedule is typically 8:00 a.m. to 5:00 p.m., Monday through Friday. It is not eligible for overtime compensation for hours worked in excess of a 40-hour work week.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma.
  • Long periods of sitting or standing.
  • Regular use of the following equipment: electronic recording equipment, telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
