We are seeking a highly organized and detail-oriented Scheduling Coordinator to manage a 24 / 7 shift schedule for one of our clients with round-the-clock operations. This role is vital in ensuring seamless staffing for multiple daily shifts and maintaining consistent communication with candidates and team members. The position requires a proactive individual who thrives in a fast-paced environment and excels at solving problems under pressure.

Key Responsibilities :

  • Staff Scheduling : Manage and coordinate a 24 / 7 shift schedule to ensure full coverage for client operations.
  • Candidate Communication : Contact candidates to confirm shift assignments, times, and availability, ensuring they are prepared for their roles.
  • Call-Outs & No-Shows : Respond quickly to call-outs and no-shows by coordinating replacements to maintain smooth operations.
  • Schedule Adjustments : Handle last-minute schedule changes, including modifications to shift times, dates, and staffing needs.
  • Training Coordination : During the first 4 weeks, work with supervisors and trainers from 9 AM – 5 PM, Monday through Friday, to learn processes and tools, ensuring readiness for independent work.
  • Client Relations : Maintain excellent communication with the client to ensure staffing expectations are consistently met.
  • Reporting & Documentation : Utilize Microsoft Excel to maintain accurate records of schedules, attendance, and other key staffing metrics.
  • Bilingual Communication (Preferred) : Assist English and Spanish-speaking team members and candidates to facilitate seamless communication and support.

Schedule :

  • Working Hours : 3 PM – 1 AM, 3-4 days per week , including 1 weekend day .
  • Training Period : 9 AM – 5 PM, Monday – Friday, for the first 4 weeks .
  • Qualifications :

  • Experience :
  • Previous experience in scheduling, staffing, or a related administrative role is strongly preferred.

  • Experience working in a fast-paced environment that requires problem-solving and multitasking.
  • Technical Skills :
  • Proficiency in Microsoft Excel (e.g., creating spreadsheets, using formulas, managing data).

  • Familiarity with scheduling software is a plus.
  • Language Skills :
  • Bilingual in English and Spanish is highly preferred.

  • Soft Skills :
  • Excellent communication and interpersonal skills.

  • Strong organizational skills with a high attention to detail.
  • Ability to remain calm under pressure and handle urgent, last-minute changes effectively.
