What you’ll be responsible for:
You will be responsible for the administrative support of the Human Resources (HR) department and HR programs. A typical day may include communications to staff, answering employee questions in person and via email/phone, preparing materials for meetings, running reports, creating and maintaining various databases, working closely with HR staff, answering phones, or ordering supplies (including sweets for the candy jar). Our ideal candidate is highly organized, eager to take initiative, and is interested in working for a Human Resources department.
What you’ll be doing:
- Take responsibility for the support of the Human Resources department and HR programs and the ongoing day-to-day functions of running the department, such as answering phone calls and emails, sorting mail, planning HR meetings, as well as the administration of a variety of HR programs. Learn how to use the badge printer and fingerprint scanner to set up new employees and volunteers.
- Support VPs of HR. Maintain records, shared department calendars, and distribution lists.
- Prepare for internal and inter-agency meetings by managing all correspondence, agendas, materials, data, minutes, reports, and mailings.
- Prepare, distribute, and post employee communications, announcements, agency and building memos, and other communications.
- Coordinate administrative tasks for JUF’s professional development and wellness programs and assist with other employee appreciation programs.
- Respond to employee inquiries and provide information needed for senior staff including providing special reports and responding to employment verifications.
- Perform various tasks and responsibilities in the Human Resources Information System/intranet, including updating and maintaining information for staff.
- Provide back-up administrative support for all members of the HR staff as needed and other projects as assigned.
- Assist in preparation of various benefits-related reports and invoices.
- Oversee content on JUF’s lobby screen. Collect information from staff members including employee shoutouts, photos from internal activities, and post information about anniversaries and birthdays.
- Support JUF Campaign and mandatory campaign-related activities on an ongoing basis.
What you need to succeed:
- Bachelor’s degree, Associate’s degree, or 2 years of administrative experience.
- Ability to quickly learn how to use our HR database system, UKG Pro. Experience with an HRIS is preferred.
- Strong interpersonal, organizational, written, and oral communication skills.
- Patient, adaptable, eager to take initiative, and highly organized with strong attention to detail.
- Skill and proficiency in Microsoft Office Suite.
- Observe, in every respect, confidentiality.
- Strong multi-tasker and able to maintain workload to meet deadlines.

Salary range: $45,000-$46,000
