Office Assistant/Administrator
We are looking for a reliable Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include bookkeeping and administrative support for the entire company. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office administrator ensures the smooth running of our company’s office and contributes to driving sustainable growth.
Responsibilities
- Answer main office phone line and route calls as needed
- Greet visitors and manage the front desk area
- Respond to company emails
- Enter leads into system
- Gather mail daily & sort
- Enter estimates into QuickBooks
- Billing in QuickBooks
- Issue warranties?
- Record customer payments in QuickBooks, create deposits daily
- Organize and maintain office files
- Support budgeting and bookkeeping procedures
- Create and update records and databases with financial and other data
- Track stocks of office supplies and place orders when necessary
- Clean the office as needed
- Attendance and reliability within company guidelines
- Maintain work area in a neat and orderly manner
- Assist colleagues whenever necessary
- Other projects assigned by Owner
Qualifications
- Proven experience as an office administrator/assistant, bookkeeper or relevant role
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with office management procedures and basic accounting principles
- Skilled in Quick Books and knowledge of MS Office and office management software
- Familiarity with CRM systems, or willing to learn
- Ability to answer telephone in a professional timely manner and route calls as needed
- Ability to respond to emails in a professional timely manner
- Knowledgeable of social media
- Ability to work independently as needed
- Self-motivated
- Ability to achieve commitments
- A Positive attitude and willingness to work as a team player is must!
- High school diploma
