Job Overview :
We are seeking a highly organized and proactive HR Administrator to support our automotive client. The ideal candidate will be responsible for performing a variety of HR-related administrative tasks to ensure the smooth operation of human resources functions. This role is an integral part of the HR team, assisting with employee records, compliance, onboarding, and general administrative duties within the automotive industry.
Key Responsibilities :
- Employee Record Management : Maintain and update accurate employee records (electronic and physical) including personal details, contracts, and performance documentation.
- Onboarding & Offboarding : Support the onboarding process for new hires, including preparing employment contracts, coordinating orientations, and processing necessary paperwork. Assist with the offboarding process for departing employees, ensuring compliance with company policies and industry standards.
- Payroll Support : Assist in collecting attendance data, preparing payroll reports, and ensuring employees’ working hours, bonuses, and deductions are accurately recorded.
- HR Documentation : Prepare and maintain HR documentation, including employee handbooks, policies, and procedural guides, ensuring compliance with automotive industry standards.
- Recruitment Support : Assist with job postings, candidate screenings, interview scheduling, and coordination of pre-employment checks (background, drug testing, etc.).
- Employee Benefits Administration : Assist in administering employee benefits programs (e.g., health insurance, retirement plans) and answering employee queries related to benefits.
- Compliance & Legal : Ensure all HR activities comply with legal requirements, company policies, and industry standards. Help maintain records for audits.
- Training & Development : Assist in organizing training sessions, maintaining training logs, and tracking employee development initiatives.
- General HR Support : Provide administrative support to the HR team in day-to-day operations, including scheduling meetings, managing HR communications, and preparing reports for management.
- Automotive Industry Knowledge : Ensure that HR processes align with the unique demands of the automotive industry, including safety standards, labor regulations, and union agreements where applicable.
- Proven experience in an HR administrative role, preferably within the automotive industry or similar sectors.
- Strong organizational and time-management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and HR software / systems.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- A high level of professionalism and customer service orientation.
- HR certification (e.g., SHRM-CP, PHR) is a plus.
- Experience with HRIS (Human Resources Information Systems) and payroll systems.
- Knowledge of automotive industry-specific HR regulations and safety standards.
- Office-based environment with occasional visits to the automotive production site or dealerships as needed.
- Ability to multitask and adapt to the fast-paced nature of the automotive industry.
