Position: Family & Community Engagement Coordinator

Position Type: Regular Full Year; Non-Exempt

Required Training: 30 hours annually

Terms of Employment: Full - Time

Travel: As needed to perform job duties or obtain required training

Direct Supervisor Executive Director

Pay Range : $14.28 - $18.79

Education/Experience:

Preferred: AA Social Work, Human Services, Family Services, Counseling, or related field with previous experience working with families.

: A high school diploma or GED is required, along with at least one year of work experience in Early Childhood Education, Human Services, Social Services, or community-based programs. Additionally, you must be able to obtain a credential or certification in social work, human services, family services, counseling, or related fields within 18 months of being hired.

* Related degrees must include coursework equivalent to a major in Social Work, Human Services, Family Services, or Counseling, and college transcripts must be submitted to determine relevance. Unrelated degrees must obtain credentials or certification within 18 months of hire.

POSITION PURPOSE & OVERVIEW

  • This position is responsible for building & maintaining positive relationships with families from enrollment to exiting and coordinating services for the families that support the growth of families in alignment with the Parent Family and Community Engagement Framework (PFCEF).
  • Responsible for coordinating the Family, Parent, and Community Engagement. Family and Community Engagement focuses on parent involvement, including male involvement activities, family support services, and partnerships with community agencies.
  • Must follow standards as stated in the HS Performance Standards and TDFPS Minimum Standards for child care centers and work collaboratively with other staff members.
  • Does not supervise other employees.

Knowledge:

  • Strong organizational skills and computer literacy using Windows, Microsoft Office, Google Suites, and Gmail.
  • Office methods, practices, and procedures, including record-keeping and filing systems.
  • Ability to compute numbers and percentages, interpret data, and develop graphs.
  • Work in multi-cultural and multi-ethnic communities. [746.1201(3); 1302.91]
  • Culturally sensitive and competent in all interactions by being courteous, respectful, and accepting and displaying patience with children, families, and colleagues. [746.1201(2)(3); 1302.91]
  • Proper English, including grammar, punctuation, spelling, and sentence structure.
  • Work experience in Community Service-based programming is preferred.

  • Conduct an assessment of family strengths and needs.
  • Work within an interdisciplinary team as a cooperative and supportive team member, including education staff, consultants/coordinators, managers, and local partners.
  • Organize work assignments to meet established deadlines.
  • Translate oral and written materials from English to a specified foreign language and from a specified world language to English.
  • Speak, read, and write effectively.
  • Use word-processing software at an intermediate level, and learn and master other computer technology/software programs as needed.
  • Establish, prepare, and maintain reports and systematic (database) records related to assigned functions.

ESSENTIAL DUTIES & RESPONSIBILITIES

Under the supervision of the Education, Health & Family Services Manager, the Family and Community Engagement Coordinator shall be responsible for

General Duties & Responsibilities

  • Greet, assist, and direct all visitors courteously and professionally.
  • Preserves confidentiality of all clients, potential clients, and employees' information.
  • Deliver Family and Community Engagement services by coordinating with managers, teachers, and parents to ensure quality outcomes for children and families.
  • Utilize integrated strategies to achieve program goals; assist with data entry, reconciliation, monitoring, and analysis, producing timely reports on service quality and compliance.
  • Maintain positive communication, professionalism, and teamwork with program participants and coworkers while upholding confidentiality and professional boundaries.
  • Promote and explain JETS programs during recruitment and orientation, supporting the agency’s mission and values.
  • Participate in strategic planning and the agency's annual self-assessment, producing quality work with minimal supervision and meeting deadlines.
  • Attend required meetings and training, contributing to their planning and facilitation as needed.
  • Report any unsafe or illegal actions and follow up with the appropriate management staff regarding concerns.
  • Conduct training to present to groups, assist managers, and design training when directed.
  • Keep records and reporting systems updated and monitor them continuously.
  • Develop an improvement plan based on self, internal, or external assessment findings.
  • Will work in the classroom as needed and is expected to follow teaching staff responsibilities as outlined in the Substitute position job description.
  • Perform other duties as necessary or instructed by your supervisors.

Family Services Responsibilities

  • Build and maintain collaborative relationships with assigned families as their primary point of contact and case manager. Establish positive partnerships with parents, focusing on strengths while maintaining professional boundaries.
  • Assist families in identifying strengths and needs through assessments and agreements.
  • Conduct home visits with families if needed.
  • Provide services from enrollment to exit and ensure policy compliance while monitoring attendance.
  • When necessary, welfare checks should be performed on absent children who have not had any contact, according to policy.
  • Makes referrals to link children and families to needed community services; follows up on referrals made and outcomes to help ensure families’ needs are met.
  • Assists with transitioning enrolled children to appropriate next-step services and provides support and resources to the families.
  • Maintains effective child health services delivery by obtaining, updating, and assessing individual health information for enrolled children and ensuring established dental/medical requirements are met.
  • Assisting families in accessing health and oral health services providing follow-up services when necessary. Distribute resources for families related to children's healthy growth and development.

Family Engagement Services Responsibilities

  • Collaborate with the Education, Health, & Family Manager and other JETS staff to organize Parent Committee meetings and coordinate the Parent Committee and Policy Council systems.
  • Foster an atmosphere that promotes and encourages parental engagement.
  • Develop, coordinate, maintain, and monitor at-home learning programs.
  • Work alongside Education Services to implement at-home learning activities and language/literacy programs.
  • Organize, prepare, coordinate, and maintain relevant communications (Newsletters, School Closure Notices, etc.), meetings, events, training sessions, and professional development activities to support the PFCEF and the families served.
  • Reach out to parents to encourage participation in their child's education, emphasizing at-home learning.
  • Coordinate and execute family education initiatives and agency-wide events that align with PFCEF goals, family objectives, school readiness goals, and Head Start Performance Standards requirements.

Community Partnerships Services Responsibilities

  • Collaborate with and maintain a working knowledge of local community resources.
  • Establishes and maintains relationships with community partners; cultivates relationships with appropriate and reputable referral agencies and individuals to develop referral pipelines for families to receive needed services not provided by the program.
  • Work closely with the Education, Health, and Family Services Manager to develop and maintain community memorandums of understanding (MOUs) and partnerships.
  • Foster strong communication and partnership with local schools.
  • Promote and support volunteerism by assisting in the recruitment and orientation of volunteers and providing them with guidance as needed.
  • Collaborate with the Executive Assistant to keep the agency's social media platforms updated with relevant information.

MINIMUM QUALIFICATIONS

  • Must be at least 18 years old
  • Must be able to pass all criminal background checks
  • Must have a valid driver’s license to be placed on agency insurance and drive agency vehicles.
  • Within 30 days of employment, you must be certified in Pediatric CPR & First Aid and have a clear TB skin test.
  • Must be a steady, reliable worker
  • Must be able to perform simple tasks independently after being given specific instructions
  • Must display strong written and verbal skills. Bilingual English/Spanish is highly desired.
  • Intermediate computer skills, including Microsoft Office, internet use, data entry, and email.

PHYSICAL QUALIFICATIONS

  • Dexterity of hands and fingers to operate equipment.
  • Hearing and speaking to exchange information in person and over the telephone.
  • Reaching overhead, above the shoulders, and horizontally to retrieve stored files and supplies.
  • Moving and transporting program materials and lifting, carrying, and pulling objects weighing up to 50 lbs.
  • Sitting or standing for extended periods of time.
  • Seeing to read a variety of materials.
  • Walk short distances on a regular basis and on uneven surfaces whenever necessary.
  • Operate a vehicle while carrying out assigned duties.
  • Must obtain a work physical within 90 days of employment and an annual physical afterward.

ENVIRONMENT CONDITIONS

  • Duties are performed in an office environment, outdoors in the community, in the homes of families served, and under varying conditions.
  • Ability to work a flexible schedule, evening and weekend hours, as the service population's needs require.
  • Employees' duties require them to drive a vehicle to attend meetings with parents, students, and staff and make home visits.
  • Required work habits include regular attendance, teamwork, initiative, promptness & communication.
  • The ability to handle a fast-paced, changing environment
