This position combines payroll administration and accounts receivable support, ensuring that payroll is processed accurately and on time while maintaining customer invoicing, collections, and general accounting responsibilities. The ideal candidate will have strong knowledge of accounting and payroll processes, including experience with QuickBooks Desktop, NetSuite, and the Paycom payroll platform for processing employee and contractor payments.
Key Responsibilities:
- Payroll Processing:
- Process bi-weekly payroll for U.S. employees, including salary, hourly, and commission-based pay, across Utah and other select states.
- Help transition payroll from QuickBooks to Paycom with accuracy.
- Handle payroll deductions such as benefits, taxes, garnishments, and levies, ensuring compliance with federal, state, and local payroll laws.
- Maintain and update employee payroll records to comply with federal, state, and local tax regulations.
- Review and resolve payroll discrepancies or issues raised by employees.
- Administer and validate Time and Attendance data for hourly payroll processing, ensuring compliance and accuracy.
- Prepare quarterly and annual payroll audits and assist with year-end payroll activities, including W-2 generation and reporting.
- Ensure accuracy and timely calculations of special payroll items such as wages, bonuses, commissions, and other earnings.
- Process contractor payments, ensuring accuracy and compliance with IRS regulations, including 1099 filings.
- Conduct payroll compliance checks and assist with payroll-related government reporting.
- Accounts Receivable & Billing:
- Prepare and submit customer invoices, ensuring accuracy and timeliness.
- Monitor and follow up on outstanding accounts and work with customers to resolve overdue payments and discrepancies.
- Review and verify general ledger postings for invoices, ensuring that all entries are accurate.
- Maintain and manage customer and vendor information and transfer them to the upcoming new ERP system.
- Research and prepare credit/debit memos, resolving any billing issues as they arise.
- Assist with month-end reporting and general administrative tasks related to accounts receivable.
- Experience:
- Minimum of 7-9 years of clerical accounting experience, with a strong understanding of payroll processing and accounts receivable. A payroll certification a plus.
- Experience with QuickBooks Desktop and Paycom (or similar payroll systems) is required.
- Experience with NetSuite ERP is a plus
- Skills:
- Strong proficiency in Google Suite and Microsoft Excel and Word, with experience in data analysis and reporting of payroll and billing.
- Proficient knowledge of accounting software and payroll systems.
- Ability to understand and apply accounting principles and payroll laws.
- Excellent attention to detail and organizational skills.
- Strong interpersonal skills and the ability to communicate effectively with employees, customers, and vendors.
- Ability to resolve payroll and accounting discrepancies and maintain accurate records.
- Ability to handle confidential information with discretion and integrity.
- Knowledge of garnishments, benefits withholding, and payroll tax deposits/returns.
- Familiarity with FLSA and wage and hour law compliance.
