Customer Service Specialist Overview :

The Customer Service Specialist plays a key role in ensuring efficient operations within the Customer Support and Administrative Services department. This position is responsible for performing data entry, creating reports, providing customer service, and supporting administrative tasks. The Specialist will work closely with the Division Manager to ensure seamless communication, organization, and task management across various programs and projects.

Key Responsibilities :

  • Perform data entry, generate reports, forms, and other necessary documents.
  • Conduct research for special projects and work assignments, ensuring thorough and accurate completion.
  • Schedule meetings, manage the Division Manager's calendar, and handle correspondence.
  • Create and maintain binders, files, and other organizational documents.
  • Provide customer service by addressing and resolving internal and external customer inquiries and concerns.
  • Accept and process payments from customers, ensuring accuracy.
  • Distribute incoming mail and manage records retention and destruction processes.
  • Prepare and track agenda items, and compose, proofread, and generate correspondence, reports, and forms.
  • Prepare and submit monthly reports for review by the Division Manager, Department Director, and Program Managers.
  • Monitor and track monthly, quarterly, and annual reports for assigned programs, ensuring compliance with program agreements and contracts.
  • Assist the Division Manager in planning, developing, and coordinating administrative tasks or assignments, including collecting information from staff to respond to public inquiries or internal communications.
