SALES PLANNING AND OUTSOURCING COORDINATOR

Job Summary:

The Sales Planning and Outsource Coordinator is responsible for managing and coordinating the strategic planning, execution, and oversight of outsourcing operations, as well as supporting the sales team with planning and data analysis. This role serves as a critical link between the sales, procurement, and operations teams to ensure smooth and effective coordination in meeting business objectives. The ideal candidate will have a blend of sales, operations, and project management skills, with an understanding of outsourcing processes and demand forecasting.

Key Responsibilities:

Outsourcing Coordination:

  • Outsourcing Vendor Management: Identify, evaluate, and manage outsourcing vendors, ensuring they meet the company's quality standards and performance goals. Negotiate contracts and terms of agreements with vendors to ensure competitive pricing and service delivery.
  • Performance Monitoring: Develop and track KPIs for outsourcing partners, ensuring that vendors meet agreed service levels, timelines, and quality standards.
  • Relationship Management: Maintain strong relationships with external outsourcing partners, fostering collaboration and continuous improvement.
  • Risk Management: Assess and mitigate any risks associated with outsourcing partnerships, including supply chain disruptions, quality issues, and legal concerns.

Sales Planning:

  • Sales Forecasting & Planning: Collaborate with the sales team to develop sales forecasts, align production with demand, and establish realistic sales targets. Provide insight into market trends and historical sales data to optimize future projections.
  • Sales Data Analysis: Analyze sales performance, trends, and patterns to guide decision-making. Prepare regular reports for management, outlining sales progress and identifying potential growth areas or concerns.
  • Inventory & Resource Allocation: Work with the supply chain and inventory teams to ensure that outsourced production aligns with sales forecasts and inventory requirements.
  • Cross-Functional Collaboration: Act as a liaison between sales, operations, and finance teams to ensure that sales plans are properly executed, production meets demand, and financial goals are achieved.
  • Sales Tools & Systems: Oversee the use of sales management tools, CRM systems, and forecasting software to ensure data accuracy and accessibility.

Process Improvement:

  • Workflow Optimization: Develop, implement, and continuously refine processes to improve the efficiency of outsourcing activities and sales planning procedures.
  • Data-Driven Decision Making: Use data analytics and insights to recommend improvements to both outsourcing and sales strategies.
  • Problem-Solving & Troubleshooting: Address and resolve issues related to outsourcing, inventory shortages, production delays, and misalignment between sales projections and actual results.

Reporting & Documentation:

  • Project Reporting: Prepare regular reports on sales planning activities, including vendor performance, sales forecasts, and resource allocation.
  • Documentation: Ensure all contracts, agreements, and internal documentation related to outsourcing and sales planning are accurately maintained and accessible.

Skills and Qualifications:

Education:

  • Bachelor’s degree in business administration, Supply Chain Management, Sales, or related field is preferred, but not required.  MBA is a plus

Experience:

  • 3 years of experience in sales planning, supply chain management, and/or outsourcing coordination.
  • Experience working with vendors and external partners in an outsourcing capacity.
  • Familiarity with sales forecasting tools, CRM and enterprise resource planning (ERP) software.

 

Skills:

  • Strong analytical skills, with the ability to interpret data and generate actionable insights.
  • Excellent project management and organizational abilities, with attention to detail.
  • Strong communication skills to interact effectively with vendors, sales teams, and other departments.
  • Ability to negotiate and manage vendor contracts.
  • Proficiency in MS Office Suite (Excel, PowerPoint, Word) is essential; experience with Salesforce or other CRM platforms is a plus.
  • Problem-solving mindset with the ability to adapt to changing conditions.

  • Strong interpersonal skills and the ability to build and maintain relationships with both internal and external stakeholders.
  • Ability to work in a fast-paced environment and handle multiple projects simultaneously.
  • Detail-oriented and methodical in managing both outsourcing tasks and sales planning processes.

Working Conditions:

  • Standard office environment with occasional travel for vendor management and on-site evaluations.
  • Flexibility in working hours, particularly during peak sales planning periods or when managing project deadlines.
