Position Purpose:
We are seeking a highly organized and detail-oriented Template Coordinator/ Patient Care Representative to join our team. In this role, the Template Coordinator/ Patient Care Representative will be responsible for managing and updating provider schedules within the Electronic Health Record (EHR) system to ensure accurate and efficient scheduling that supports optimal patient care. The coordinator will work closely with providers, administrative teams, and other personnel to maintain the integrity of scheduling templates and implement timely updates to accommodate changes in provider availability. Additionally, the coordinator will assist with incoming calls and schedule appointments for patients, contributing to a seamless and patient-centered experience.
Principal Responsibilities:
- Develop, maintain, and update provider schedules and templates in the EHR system, ensuring accuracy in time slots, appointment types, and provider availability.
- Monitor schedules and make necessary adjustments based on provider changes, cancellations, or special requests, minimizing disruptions to patient care and office operations.
- Serve as the primary point of contact for providers regarding schedule changes, template updates, and any related concerns.
- Ensure the EHR system is up to date by reflecting real-time schedule changes, including provider time off, holidays, and unexpected absences.
- Generate and distribute reports on provider schedules, availability, and patient appointments to aid in capacity planning, resource allocation, and performance monitoring.
- Perform Patient Care Representative tasks, including verifying insurance information, scheduling appointments using Next-Gen, and assisting patients with inquiries related to appointments and accessing care.
- Work closely with scheduling, clinical, and administrative teams to ensure provider availability aligns with patient appointment needs.
- Quickly identify and resolve scheduling conflicts, optimizing provider time utilization and ensuring quality patient care.
- Regularly evaluate and recommend enhancements to scheduling templates, workflows, and overall processes to increase efficiency and provider satisfaction.
- Participate in JWCH’s customer service training called AIDET on an annual basis.
- Demonstrate an understanding of AIDET (Acknowledge, Introduce, Duration, Explanation, and Thank You) to apply in patient encounters or team discussions.
- Utilize the AIDET communication framework to communicate with patients and team members in a manner that reduces patient anxiety, increases patient compliance, and improves clinical outcomes.
- Perform other duties as assigned.
Requirements:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Proven experience in administrative support or scheduling coordination, preferably in a healthcare setting.
- Strong attention to detail and ability to multitask effectively.
- Excellent communication and interpersonal skills to collaborate with internal teams and providers.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Problem-solving skills to address scheduling conflicts and improve processes.
- Strong computer skills including MS Word and Excel.
- Able to work with people from diverse ethnic, cultural, and socioeconomic backgrounds.
- Experience working with EHR systems (e.g., Next-Gen) is highly preferred.
- Bilingual English/Spanish preferred
- Medical training or experience preferred.
