Job Summary :
The Executive and Accounting Assistant will provide high-level administrative support to our executive team, ensuring smooth daily operations and facilitating communication across departments. This role requires exceptional organizational, communication, and multitasking skills to manage various tasks, from scheduling meetings and managing correspondence to preparing reports and assisting with project coordination.
Key Responsibilities :
- Provide comprehensive administrative support to executives, including calendar management, travel arrangements, and meeting coordination.
- Draft, proofread, and edit correspondence, reports, presentations, and other documents as needed.
- Serve as the primary point of contact between executives and internal / external stakeholders, maintaining professionalism and confidentiality.
- Organize and maintain filing systems, both electronic and physical, ensuring easy access to information and compliance with company policies.
- Manage incoming calls, emails, and other communications, prioritizing and directing inquiries as appropriate.
- Assist with special projects, research, and presentations, ensuring deadlines are met and work is completed to a high standard.
- Prepare and track expense reports, invoices, and other financial documents.
- Diligently manage QuickBooks data entry, encompassing accounts payable, accounts receivable, and additional financial transactions to ensure accuracy and efficiency for several small entities.
- Coordinate meetings, conferences, and events, including logistics, agendas, and materials.
