Job Purpose:
In conjunction with Program manager and treatment team, provides clerical and administrative support to management and clinical staff to ensure proper maintenance of client records and other client sensitive information. This position offers an opportunity to work in a fast-paced medical office environment, providing essential support to healthcare providers and ensuring the smooth operation of the facility.

Duties:
· Compiles information to input into patient files and ensures that record is in proper order according to quality assurance protocol.
· Sort or classify information according to content, purpose, user criteria or chronological, alphabetical, or numerical order.
· Tracks materials removed from files in order to ensure that borrowed information is returned.
· Assists with removing inactive files according to maintenance guidelines and/or legal requirements.
· Maintains Patient records by stamping identification codes or numbers in order to index materials for filing and archiving old patient files.
· Find and retrieve information from files in response to requests from authorized users.
· Gathers information to be filed from departments and employees.
· Performs generalized office duties such as typing, operating office machines and sorting mail.
· Adds new material to file records, and creates new records as necessary.
· Communicates (verbal and written) with a wide range of personnel, physicians and vendors. Adheres to confidentiality requirements.
· Keeps promotional materials ready by coordinating requirements with management and senior officers.
· Attends mandatory in-services.
· Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries.
· Maintains patient accounts by obtaining, recording, and updating personal and financial information.
· Prepares and participates in on-going and annual audits.
· Protects patients' rights by maintaining confidentiality of personal and financial information.
· Performs related duties as assigned.
· Maintains operations by following policies and procedures; reports needed changes.
Skills/Qualifications/Education:
· High school diploma or GED.
· Multi-tasking, Flexibility, Telephone Skills, Customer Service, Time Management, Organization, Attention to Detail, Professionalism, Quality Focus.
· Should be comfortable using a computer, its software, and all other office equipment.
· Familiarity with electronic medical records systems
· Some knowledge of Microsoft Word, Excel, PowerPoint and Publisher computer programs.
· May be required to lift 10 or more pounds of record storage boxes.
Minimum experience required:
· Some experience in a substance abuse treatment, correctional or other social service/mental health setting preferred.
Job Type: Part-time
Pay: $17.00 - $19.50 per hour
