Job Summary:

The Department Manager for Project Coordination is responsible for leading and managing a team of Project Coordinators to ensure the seamless execution of residential countertop installation projects. This role emphasizes leadership, operational efficiency, and strategic planning to meet customer-centric goals. The manager will oversee daily departmental activities, provide mentorship and support to the team, and foster collaboration between departments to ensure high-quality service delivery.

To succeed in this role, you will need to have excellent people and leadership skills with a strong sense of urgency. You will need to be detail orientated, have excellent verbal and written communication skills, organizational skills, and the ability to multi-task in a fast paced environment while maintaining your composure. You will be working in partnership with clients, contractors and colleagues alike to help track, gather and dispense project related information and updates daily.

The ideal candidate will combine exceptional leadership skills with a deep understanding of project coordination processes and a commitment to enhancing both team performance and client satisfaction.

Key Responsibilities:

· Acting as a primary point of contact, promptly answer phone calls and respond to emails from customers related to the status of their respective orders throughout the lifecycle of their project.

· Effectively communicate with customers using both phone, e-mail and in-person meeting to collect missing information and project requirements.

· Lead, mentor, and manage a team of Project Coordinators, fostering a collaborative and high-performing work environment.

· Oversee the full lifecycle of residential countertop installation projects, ensuring adherence to timelines, budgets, and quality standards.

· Monitor departmental workflows, identifying areas for improvement and implementing effective solutions to enhance efficiency and productivity.

· Serve as an escalation point for complex client concerns, providing resolutions that align with company policies and customer expectations.

· Collaborate with other departments, including Sales, CAD, Scheduling, and Production, to ensure smooth project handoffs and execution.

· Develop and maintain standardized processes and best practices for project coordination activities.

· Track and analyze departmental performance metrics to measure success and identify improvement opportunities.

· Provide training and development opportunities for team members to enhance their skills and career growth.

· Manage team schedules and workload distribution to accommodate peak demand periods and staff absences.

· Ensure compliance with company policies, safety standards, and industry regulations.

Qualifications and Skills:

  • Proven experience in managing teams, preferably in project management/coordination, construction, or related industries.
  • Strong leadership and interpersonal skills with the ability to motivate and develop a team.
  • Exceptional organizational and multitasking abilities in a fast-paced environment.
  • Excellent problem-solving and critical-thinking skills.
  • Strong verbal and written communication skills.
  • Proficiency in project coordination software and tools (e.g., Moraware, Microsoft Office Suite).
  • Detail-oriented with a focus on delivering high-quality results.
  • Ability to handle escalations calmly and professionally while ensuring client satisfaction.
  • High school diploma or higher education (a degree in Business Management or a related field is preferred).

· Must be able to pass a drug test and possess a valid driver’s license.

Working Conditions

While performing the duties of this job, the employee will be exposed to normal office environments, however, brief periods on the production floor should be expected. Appropriate safety equipment will be provided. Frequently operates a computer, enters data into systems, verifies information, etc… The noise level is usually moderate.

Physical Requirements

While performing the duties of this job, the employee is regularly required to sit for long periods, use hands and arms with frequent repetitive motions. The employee is occasionally required to stand and walk and must be able to see, speak and hear.

Specific vision abilities required by this position include close vision, color vision and ability to adjust focus as it relates to working at a computer.

Pay: $60,000.00 - $85,000.00 per year
