What are the responsibilities and job description for the Executive Assistant position at KA Early Childhood Education Center?
We are seeking a reliable, highly organized, and computer-savvy Executive Assistant to support the owner of a Queens and Long Island based multi-site daycare operation. This role requires a proactive and flexible individual with the ability to jump in as needed to manage administrative tasks, provide operational support, and occasionally handle personal assistant duties. The ideal candidate capable of driving between daycare locations as needed.
Key Responsibilities:
Schedule and Calendar Management:
- Coordinate and maintain the owner's complex calendar, including meetings, site visits, and appointments.
- Prioritize tasks and streamline the owner's daily schedule to align with business needs.
Operational and Administrative Support:
- Drive between daycare locations to assist with on-site tasks, meetings, and operational needs.
- Organize and maintain records, files, and documents related to daycare operations.
Personal Assistant Tasks:
- Handle personal errands and organizational tasks as needed.
- Support the owner in balancing professional and personal obligations effectively.
Marketing and Communications:
- Assist with marketing initiatives, including social media updates, newsletters, and promotional materials.
- Create content, design flyers, and manage online advertising campaigns when required.
- Help develop and maintain a consistent brand presence across platforms.
Meeting and Event Coordination:
- Schedule, plan, and prepare for meetings with site directors, staff, and external partners.
- Take meeting minutes, track follow-up items, and ensure timely execution of deliverables.
- Coordinate special events, such as staff appreciation days or community outreach programs.
Relationship Management:
- Act as a liaison between the owner, daycare directors, staff, and external partners.
- Build and maintain strong, positive relationships with stakeholders.
Qualifications:
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Must have a valid driver’s license and reliable transportation.
- Exceptional organizational and multitasking skills with strong attention to detail.
- Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other software tools.
- Knowledge of marketing platforms, including social media, email marketing, and graphic design tools (e.g., Canva), is a plus.
- Strong written and verbal communication skills.
- Ability to manage confidential information with discretion and professionalism.
- Flexibility to adapt to a dynamic work environment and handle diverse tasks.
