JOB OVERVIEW
We are looking for an experienced and highly organized Event Manager (Hybrid) to join the Kabila Events team. You will be responsible for overseeing the planning, coordination, and execution of Culture Fest (June 14, 2025) and Philly Black Wine Fest (September 13, 2025).
This role requires strong leadership, exceptional attention to detail, and a passion for creating dynamic, culturally relevant experiences.
As the Event Manager, you will collaborate with team leads, vendors, sponsors, performers, and volunteers to ensure seamless pre-event planning and successful day-of operations. You’ll also be tasked with managing timelines, budgets, event logistics, and ensuring all moving parts come together under the Kabila Events standard of excellence.

KEY RESPONSIBILITIES:
- Develop and manage event production timelines for Culture Fest and Philly Black Wine Fest
- Coordinate with internal departments (marketing, sponsorships, volunteers) to align all elements of execution
- Source and manage event vendors (e.g., rentals, staging, sound, catering, décor)
- Manage budget and ensure all needed items are ordered in a timely manner
- Conduct walkthroughs and site visits and venue contacts
- Manage Event Coordinator & related volunteers
- Assist with event permit applications, insurance, and city compliance requirements
- Assist with event layout development including site plans, vendor placement, and signage
- Monitor vendor deadlines and deliverables, ensuring timely confirmations and payments
- Support the coordination of entertainment schedules, tech requirements, and rider needs
- Update pre-event communication and share with the Administrative Team. Communication to
be shared with stakeholders including vendors, sponsors, and performers
- Develop run-of-show documents and assign roles/responsibilities for event team
- Lead on-site setup, operations, and breakdown logistics
- Troubleshoot issues day-of and ensure that staff and guests have a high-quality experience
- Assist with facilitating venue, vendor, and staff Information Sessions
- Submit post-event recaps, expense reports, and improvement recommendations
- Send Post Event Surveys and create a final review document to be shared with the
Administrative team
QUALIFICATIONS & SKILLS
- Bachelor’s degree in Event Management, Hospitality, Communications, or related field
(preferred)
- 3 years of experience managing events or festivals (cultural or large-scale events preferred)
- Strong organizational and time management skills
- Ability to manage multiple priorities and work under pressure
- Confident in vendor relations, site planning, and operations
- Strong written and verbal communication skills
- Comfortable using tools like Google Workspace, Canva, Trello, and project management software
- Ability to lift and transport event equipment as needed
- Flexible schedule, including availability on weekends and evenings around events
TERM
The term of this Temporary Contract shall start on Monday, April 21, 2025, and end on Monday, September 29, 2025.

Compensation: The total compensation for this contract is $1,500, paid bi-monthly (every other
month).
HOURS OF WORK
The contract hours shall be Monday through Friday, with flexible scheduling at the discretion of the contractor. The ordinary working hours shall not exceed 10 hours per week, excluding biweekly team meetings.
Work Environment: Primarily remote, with in-person meetings, walkthroughs, and full-day presence required during event weekends and setup days. Required Travel: Approximately 30%, primarily in the Philadelphia area.
NON-COMPETITION & CONFIDENTIALITY
The Contractee will have access to confidential company and partnership information and must not disclose such information to outside parties. During the duration of the contract, the Contractee may not assist a competing organization or accept work that interferes with their obligations to Kabila Events. All external employment must be disclosed and approved, ensuring no conflict of interest.
