Clinic Supervisor
The Kai Shin Clinic specializes in working with people with co-occurring mental health and substance use disorders. It is common for symptoms of depression, anxiety, PTSD, stress, and others to exacerbate substance use, highlighting the importance of treating both. Our team of experts in addiction and mental health work together with each client to address both mental health and substance use symptoms to help individuals find a greater sense of wellness and quality of life. To best support our clients’ health continuum of care, Kai Shin Clinic has expanded to open Primary Care Service Line. We are looking for an experienced Clinic Supervisor to oversee daily clinic operations and provide excellent care to our clients.

Status: Exempt, Salary 62,000 - 65,000
Schedule: Monday-Friday
Role: In collaboration with the multidisciplinary team, the Clinic Supervisor’s primary responsibility will be to oversee and manage the daily operations of the clinic, staff training, monitoring of compliance, and provide excellent patient care. Ideal candidates have a clinical background as an MA, LPN, or RN, though those with relevant healthcare leadership experience may also be considered, as well as current course work. This role requires strong leadership, attention to detail, and the ability to positively influence team culture while fostering collaboration and professional growth. The Clinic Supervisor must be highly organized, solutions-oriented, and capable of managing a fast-paced environment, supporting both staff development and an exceptional patient experience. They must demonstrate initiative, be solutions-oriented when challenges arise, and have the ability to foster teamwork and professional growth within the clinic
Responsibilities:
Leadership
- Assist with onboarding, training, and professional development of clinical and administrative staff
- Ensure appropriate staffing coverage and workload distribution
- Promote a positive team culture by encouraging professionalism, accountability, and teamwork
- Create, implement and monitor standard operating procedures, policies/procedures
- Support team communication and ensure staff adherence to policies and best practices
- Assist in the interviews, recruitment and retention of staff
- Provide new employee orientation, annual training, and competency
- Excellent organizational and problem solving skills
- Collaborate with leadership to improve workflows, efficiency, and patient care processes.
- Provide coaching, training, and performance feedback to enhance team efficiency and morale.
- Ability to provide deescalation and therapeutic communication

- Oversee clinic supply management, ensuring necessary materials are stocked and available.

Clinical Care
Assist the clinical team as needed during staffing gaps to maintain smooth operations.
- Prepare exam room, room patients, manage efficient flow
- Complete patient screenings, height/weight, allergies, reconciliation of medications, and reason for the visit
- Obtain accurate vitals and document in EMR
- Assist with routine procedures
- Prepare, administer, and record medications per policy/procedure
- Perform treatments as directed
- Excellent adult phlebotomy skills
- Perform CLIA waived testing
- Proper collection, labeling, and processing of specimens
- Prioritize patient care based on acuity
- Application of minor dressings, splints
- Clean, stock and maintain supplies and medication
- Responsible for daily maintenance and equipment logs
- Perform EKG and download to EMR
- Provide patient education resources
- Assist with prescription refills, prior authorizations, school/work notes, and forms
- Knowledgeable of policies and procedures
- Actively attend and participate in operations meetings
- Performs other duties as assigned
Cross train to Front Desk and Patient Care Resource:
- Answer incoming phone calls promptly and professionally, transfer as appropriate
- Monitor provider schedules, appointment blocks, and patient flow to optimize efficiency.
- Schedule, cancel appointments
- Oversee telehealth appointments on Doxy to ensure patients are roomed timely and efficiently (within 10 minutes).
- Working knowledge of insurance verification and assist with new intake scheduling
- Conduct regular audits of SOP and clinic charts practices to ensure 100% accuracy and adherence.
- Manage and triage calls from front desk and provide assistance to patients
- Be knowledgeable with medical records, ROIs, and adhere to confidentiality, state, federal, HIPAA laws and guidelines with regards to patient records.

Qualifications:
- Prior supervisory/management experience
- 3 - 5 years experience as CMA/LPN
- Knowledge of medical terminology
Licenses/Certifications:
- Current BLS certification
- Certified Medical Assistant (CMA) from the American Association of Medical Assistants
- Graduate of an accredited nursing program with a current license as an LPN in MN
Requirements:
- Ability to travel; valid driver’s license, auto insurance.
- Pass MN DHS background study.
- Proficiency with G-suite and Microsoft Office applications.
- Working knowledge EMR documentation
- Must be able to lift and carry 25lbs.
