POSITION TITLE:            Employment Services Coordinator

 

DEPARTMENT:                Kainos Employment and Day Programs

 

SUPERVISOR:                 Director of Day and Employment Services

 

DIRECT REPORTS:           Lead Instructors and Instructors

 

 


SUMMARY:

The Employment Services (ES) Coordinator will work as part of the Kainos Employment and Day Programs team as one of the program Supervisors to support all day-to-day needs and oversee the quality Person-Centered programming throughout the department. As the ES Coordinator, this position will be responsible for overseeing Employment Services as a whole, inclusive of the program and staff.  The ES program may require support during evenings and weekends.

This position will oversee the staff and volunteers, transportation coordination, assessment of the program and necessary information tracking/reporting for the Employment Services Program.  The ES Supervisor will provide supervision and coaching to the staff, oversee the employment life cycle of each staff, run 1:1/team meetings, complete performance evaluations, complete improvement plans and/or train as needed.  This position would also support billing efficiencies through direct support.

The ES Coordinator will ensure all employment training and employment opportunities are being run in a meaningful, person-centered way that supports community inclusion and aligns skill development and independence.  This position will be aware of all service models/incentive programs (TDS, CC, ES, PIP, CIE, etc.) and changing initiatives (i.e. PCP, HCBS, etc.) and ensure that all philosophies are being trained and implemented throughout the program.  The ES Coordinator will work closely with the individuals served, staff, Case Managers and Director of Day and Employment Services to ensure each individual is receiving the best services in alignment with their goals.  The ES Coordinator will work closely with the Director of Day and Employment Services and Director of Operations and Compliance in regards to all accreditations, inspections, compliance issues and/or contracts related to the Supported Employment Programs. 

ESSENTIAL RESPONSIBILITIES:

●     Oversee Employment Specialists, Job Coaches, and TDS Instructors through their employment lifecycle providing support to the team.

●     Participate in the on-boarding and development of new staff and volunteers. 

●     In collaboration with Day and Employment Services Director, oversee performance evaluation process (i.e. goal development, implementation and tracking, etc.), development and completion of 30-60-90s, performance management and/or improvement plans (if needed).

●     Run 1:1s and Team meetings on a regular basis and as needed.

●     Oversee the accurate completion of timesheets for staff and individuals served.

●     In collaboration with Day and Employment Services Director, manage the Employment Services Programs in alignment with their approved program designs.

●     Work in a collaborative manner with all Kainos Programs (CC, Residential, etc) to ensure the transition of clients from non-vocational programs to vocational programs.

●     Develop, grow and maintain all employment contracts and partnerships in the community for individuals served.

●     Source and develop community-based job leads.

●     Oversee all communication and agreements with employment contracts and partnerships.

●     Oversee all individual’s POS’ to ensure they are receiving the best services to meet their goals.

●     In collaboration with Day and Employment Services Director, oversee all billable hours and schedules for each staff, ensuring and managing that efficiencies are maximized.

●     Oversee all financial documentation in relation to Supported Employment Programs (i.e. budget, client billing, contracts invoices, etc).

●     In collaboration with Day and Employment Services Director, oversee both in-person and virtual (when applicable) program expectations and requirements in alignment with the program design; building upon program goals and outcomes.

●     Make sure all assigned paperwork is completed by staff accurately and submitted in a timely manner.

●     In collaboration with Day and Employment Services Director, receive and process time-off requests from staff and support planning and communication around staff outage notifications and working with staff to develop a coverage plan as needed.

●     Support staff through managing daily schedules, ratio and provide coverage to an in-person or virtual group as staffing requires it.

●     Manage communication to ES team members regarding documentation required.

●     Manage communication throughout the Day and Employment Services Department and throughout Kainos as needed.

●     Oversight of vehicle maintenance and daily coordination of vehicles as needed.

●     Schedule, coordinate, and oversee quality assurance checks of all employment services site, partnerships and trainings. Create a collaborative action plan to make and track necessary adjustments needed.

●     Assist in the preparations for triannual CARF accreditation.  Oversee the completion, tracking and maintenance of necessary forms and requirements for CARF.

●     Schedule, coordinate, and oversee the completion of satisfaction surveys annually.  Provide support where needed.

●     Compile and track data related to satisfaction surveys and make recommendations for changes, if necessary.

●     Oversee the continuing implementation of client input meetings, make sure they adhere to Person-Centered and HCBS standards (i.e. One Page Profiles) and proper records of client input are kept.

●     Support monthly emergency drills (conducting and training) as necessary.

●     Attend all departmental meetings, in-services, trainings, and seminars as needed.

●     Provide emergency response support as needed.

●     Be aware as to the welfare and safety of the clients at all times.

●     Report any safety hazard, accidents or incidents to the Program Director. Make sure client injuries are appropriately documented and reported.

●     Develop and maintain excellent relationships with all stakeholders.

●     Follow all Kainos Policies and Procedures and counsel direct reports on them as necessary.

●     Must act as a Mandated Reporter, and responsible to report any known or suspected adult abuse.

●     Work on special projects as needed.

●     Other duties as assigned.

 

EDUCATION/QUALIFICATIONS:

●     Bachelor’s degree in a related field or a high school diploma plus four years’ experience working with persons with an intellectual/developmental disability.

●     One year supervisory experience.

●     Passion for the Kainos Mission

●     Ability to effectively supervise and train other staff and clients on various production jobs and related tasks.

●     Demonstrates the ability to effectively work well with others.

      ●     Demonstrates the ability to model positive, professional behavior at all times.

●     Ability to utilize Google drive, docs and calendar effectively

 

PHYSICAL FUNCTIONS:

●     Ability to remain standing or walking on your feet for a minimum of a 4 hour period.

●     Ability to reach, bend, stoop, twist, push and pull repetitively for up to a 4 hour period.

●     Ability to lift up to 25 lbs repetitively for up to 4 hours at a time.

●     Ability to lift 50 lbs occasionally with assistance.

 

LICENSING REQUIREMENTS:

●     Maintain current American Red Cross CPR and Standard First Aid certification.

●     Be able to pass a physical examination and TB test.

●     Have a clean driving record and criminal record.

●     Be cleared to drive Kainos vehicles.
