GENERAL SUMMARY
The purpose of this job is to coordinate and maintain all case files handled by the Prosecuting Attorney's office. Processes court orders, maintains and updates legal cases, and stores in multiple databases. Coordinates the scheduling of all court events, reviewing and updating court docket schedules. Provides front desk and administrative support to attorneys and victim advocates by creating files, processing cases with the court, analyzing clients' data, processing and coordinating victim impact statements and correspondence, and directing incoming calls to appropriate staff when necessary. Verifies sentencing information from court logs received by the courts and records the legal information. The primary duties will be at the Pratt Justice Center's front desk reception area.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Monitors and reviews legal court events. Prepares and reviews court orders, notices, motions, and other communications regarding legal proceedings. Distributes documentation as necessary.
- Processes and files motions, writs, nolles, citations, legal documents, and other court orders.
- Maintains and updates case information stored in dual databases.
- Provides customer service and administrative support within the assigned unit, including answering phones, processing mail, and providing additional assistance as needed.
- Performs related work as required.
District Court/Circuit Court/Court of Appeals
- Reviews, updates, maintains, and reports statistical data for the Office of the Prosecuting Attorney Transparency Initiative.
- Provides weekend and holiday coverage for the Charging Specialist on a rotating basis.
Child Support
- Researches child support cases, interviews custodial parents, prepares pleadings, files new cases, and coordinates process service functions.
- Coordinates facilitation and scheduling of paternity and genetic testing.
Abuse and Neglect
- Processes Abuse and Neglect (NA) and Delinquency (DL) petitions and submit paperwork as necessary.
- Assists in the processing of Educational Neglect and Truancy Petitions.
Victim Witness Unit
- Prepares and processes documents and other required correspondence to maintain compliance with the Michigan Crime Victim Rights Law.
- Assists with witness coordination by maintaining witness log, facilitating witness waiting area assignments, recording nightly witness line updates, and notifying the assigned Victim Advocate of victim/witness needs.
Charging
- Assists in the evaluation of incoming data to initiate court records.
- Processes incoming data via the digital management system to create court records and case assignments.
- Serves as backup to Charging Specialist.
- Perform related work as required.
MINIMUM QUALIFICATIONS
Required Education and Experience
- High school diploma (or GED equivalent), 2 years of college preferred.
- 1 to 3 years of related work experience in the courts.
- Any equivalent of training, education, and experience that provides the required skills, knowledge, and abilities.
