Job Summary
Commonly described as the “hub of the wheel” for all assigned projects, the Account Coordinator plays a critical role in supporting the Account team in servicing our clients and their business needs on a daily basis. We depend on our Account Coordinators for project coordination, any and all administration responsibilities and overall support in the execution of assigned programs so that Kaleidoscope can maintain a strong, long-lasting relationship with our clients.
\n- Build an understanding of Kaleidoscope’s design and production methodologies and can effectively approach projects in that manner.
- Fulfill day-to-day client functions: client contact, internal discussions on multiple accounts.
- Build and manages project timelines, estimates, invoices, internal CR’s, etc.
- Organize all client-related content from project folder set-up to filing and organization of all content (proposals, estimates, client/project background materials, die lines, etc.).
- Capture and share all project notes from internal and external meetings and discussions.
- Maintain accurate budget records and tracks each project against the respective budget to ensure that budgeted revenue is billable, collectible, and we remain profitable. Share findings with manager and develop a plan to course correct as needed.
- Manage all billing related tasks such as invoicing, creating POs, external vendor POs, etc.
- Able to pull in other team members or management support, as needed.
- Build and maintain effective working relationships with internal teams, vendors, and clients.
- Manage simple projects independently and support Account Managers/Directors on more complex projects.
- Performs other related duties as assigned.
- Highly creative and imaginative.
- Ability to work both independently and collaboratively toward a goal.
- Excellent communication skills.
- Ability to work under pressure and within tight deadlines.
- Proficient in Microsoft Office Suite, Adobe Creative Suite, and/or other similar software.
- Excellent organizational skills and attention to detail.
- Willing to learn mentality with an ambition to grow the business, your team, and yourself.
- BS/BA in Marketing, Business, Communication or equivalent
- 1 years in an Account or Project management function in an agency setting (design, advertising, marketing, preferred)
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to fifteen pounds at times.
