Summary of Functions

Oversees team members in the Special Events Department. Responsible for planning and gathering details and information to generate meaningful BEOs.

Essential Duties and Responsibilities.

  • Ensures compliance with the Kalispel Tribe of Indians- State of Washington Gaming Compact, Internal Controls, NIGC Regulations, Northern Quest Resort and Casino Policies and Procedures.
  • Follows established work procedures and expedites the scope and the flow of work in the Special Events Department
  • Oversees all team members in the special events department
  • Thorough understanding of professional contract verbiage and clauses.
  • Coordinates tradeshow and promotional collateral for the sales department.
  • Learn special event and catering terminology and be able to communicate effectively.
  • Ensures follow-up calls and thank you letters are provided to all events executed
  • Oversees the proposals for the Special Events Department
  • Conducts tours of the property to sell special event facilities
  • Ensure all contracts are signed and deposits are processed correctly
  • Gather group details / information / amenity needs to generate a meaningful banquet event order.
  • Write weekly BEOs to generate the details of the upcoming Events booked.
  • Manages all updates on Sales Department SOP’s.
  • Ensure that clients are always treated with respect.
  • Ensure that client contracts are signed, and correspondence are timely and accurate.
  • Must be able to execute multiple tasks at the same time while staying focused and organized.
  • Promote positive guest relations through prompt, courteous, and efficient service per Kalispel Hospitality
  • Meet with Special Event Coordinator to ensure all details for events promised are understood and executed
  • Communicates with the Team Members through written and oral instructions including Focused Recognition and Focused Feedback
  • Share information with other departments to facilitate their successful performance.
  • Communicate with the culinary team weekly to ensure a complete understanding of event needs and review BEO to foster a healthy relationship between kitchen(s) and service.
  • Resolve any problems that may occur during assigned shift (i.e. guest complaints, Team Member problems, etc.). Pass on to the Food and Beverage Manager / Director of Food & Beverage any major incidents, GOOD or BAD.
  • Promote positive Guest relations through prompt, courteous and efficient service.
  • Monitor satisfaction of food, service and ambiance. Responsible for cleanliness and sanitation throughout the outlet(s).
  • Responsible for coaching Team Members and Corrective Actions.
  • Document operational and physical deficiencies and pass on to the Food and Beverage Manager / Director of F & B or the appropriate department for correction.
  • Requisitions supplies and prepares inventories as requested.
  • Ensure control / protection of company assets.
  • Thorough understanding of all venues and amenities available at KGCC
  • Responsible for cleanliness and sanitation in Special Events outlets
  • Taking inquiry calls from potential clients and conducting property tours in the Sales Coordinator's absence.
  • Quoting pricing and negotiating AV, Food and Beverage, and other client requests as needed in the Sales Coordinator's absence.
  • Coordinate special arrangements and needs with the appropriate departments for the operation.
  • Exceptional written and verbal communication skills and the ability to forge and foster lasting relationships with premier clients throughout the region.
  • Knowledgeable and able to complete all sales forms correctly.
  • Knowledgeable of and able to utilize catering software.
  • Presents a positive attitude and image at all times.
  • Responsible for maintaining a good attendance record and conducting themselves in a professional manner
  • Adhere to KGCC policies
  • Ensure control / protection of company assets.
  • Ensures compliance with the Kalispel Tribe of Indians- Internal Controls and KGCC Policies and Procedures.
  • Available and willing to work any changes in hours deemed necessary for Business Levels.
  • May be required to be a panelist for the Internal Review Hearings.
  • Ensures that the highest possible standards of guest satisfaction and Team Member relations are maintained and carried out in a fair and equitable manner.

Supervisory Responsibilities

Directly supervise Special Event Department Team Members. Carry out supervisory responsibilities, which entail interviewing, coaching, teaching, and progressive correction actions in accordance with the organization’s policies, procedures, and applicable laws.

Education

  • Bachelor’s Degree in Event Management or equivalent combination of education and experience.
  • Experience

  • Must have experience in all FOH vocational positions
  • Minimum of 3 years of supervisory experience in banquet, catering, and event industry.
  • Minimum of 3 years of sales experience in banquet, catering, event, and / or hotel sales.
  • Minimum of 2 years event execution experience in the F&B industry.
  • Experience with computer-based POS systems preferred.
  • Skills

  • Proficient in the use of Microsoft programs and other computer software, including word & excel
  • Excellent communication skills required for sales positions and the ability to meet and exceed sales budgets
  • Exceptional "people skills."
  • Ability to work with everyday mathematical concepts (additions, subtractions, multiplications, and percentages).
  • Knowledge of procurement procedures and inventory systems.
  • Ability to read and interpret documents such as safety rules, maintenance instructions, and procedure manuals.
  • Ability to prepare reports, correspondence, charts, layouts, forms, memoranda, and other information and instructions.
  • Ability to maintain effective working relationships with department heads and team members.
  • Skill in solving practical problems and dealing with situations where only limited standardization exists.
  • Excellent organizational, communication, and interpersonal skills.
  • Skill in identifying and resolving administrative problems under pressure conditions.
  • Demonstrated ability to be proactive and remain positive in a multi-tasking environment.
  • Flexible with scheduling, as promotional and special events demand.
  • Other Requirements

  • Ability to obtain and maintain a Tribal Work Permit.
  • Valid driver’s license (Must be in possession while operating a Tribal Vehicle).
  • Washington State Food Handler Permit within 14 days of start date.
  • Mandatory Alcohol Server Training (MAST) certification – 90 days from employment, or 1st class offered.
  • Available and willing to work nights, weekends, and holidays as required.

  • Work Environment

    While performing the duties of this job, the employee is frequently exposed to tobacco smoke, moving mechanical parts, and fumes or airborne particles. The worker is frequently subject to inside environmental conditions, which provide protection from weather conditions but not necessarily from temperature changes and is occasionally subject to outside environmental conditions and to wet and / or humid conditions. The noise level in the work environment is usually moderate.
