Summary of Position : The Restaurant Equipment Bid Estimator is responsible for reviewing project specifications, estimating costs, and preparing detailed bids for restaurant equipment, including kitchen appliances, refrigeration units, furniture, and other related items. This role requires a strong understanding of restaurant operations, construction, and equipment needs, as well as the ability to analyze plans, develop accurate cost estimates, and communicate effectively with clients, vendors, and internal teams.

Roles and Responsibilities :

  • Prepare Cost Estimates :

Review architectural plans, project specifications, and customer requirements to determine the necessary restaurant equipment.

  • Estimate the costs for all required restaurant equipment, including kitchen appliances, refrigeration units, furniture, and other related items.
  • Account for additional expenses such as delivery, installation, and any customizations or upgrades.
  • Vendor Coordination :
  • Obtain quotes and product specifications from vendors and manufacturers.

  • Negotiate prices and ensure that all bids align with the client’s needs and budget.
  • Build and maintain strong relationships with suppliers to ensure the best possible pricing and quality.
  • Bid Preparation and Submission :
  • Develop detailed, clear, and accurate bid proposals, ensuring all necessary equipment and services are included.
  • Prepare timelines and schedules for delivery and installation.
  • Submit bids to clients in a timely manner, ensuring that all necessary documentation is included.
  • Project Analysis :
  • Review bid specifications and documents thoroughly, identifying any potential discrepancies or issues before submitting proposals.
  • Work closely with project managers, contractors, and clients to ensure bids align with the overall project scope.
  • Follow up with clients to discuss bids and answer any questions.
  • Cost Management :
  • Monitor project budgets and track cost variances during the bidding process.
  • Ensure that all bids are competitive, accurate, and meet or exceed the client’s expectations while remaining within the specified budget.
  • Collaboration :
  • Work closely with the project managers, sales and design teams to ensure the proposed equipment meets clients’ needs and space requirements.
  • Collaborate with internal teams (installation, service, and engineering) to ensure smooth project execution from bid to completion.
  • Market Research :
  • Keep up-to-date with trends in restaurant equipment, emerging technologies, and industry standards.
  • Monitor competitor pricing and strategies to ensure competitive bids.
  • Follow up with clients to obtain bid submission outcomes as well as competitive data.
  • Qualifications :
  • Education :
  • High school diploma or equivalent required; bachelor’s degree in business, construction management, or a related field preferred.

  • Experience :
  • Minimum of 3-5 years of experience in estimating, specifically for restaurant equipment or similar industries.

  • Experience working in the foodservice industry is highly preferred.
  • Industry Knowledge :
  • Understanding foodservice operations, equipment, construction and design knowledge is a significant plus

  • Skills :
  • Strong knowledge of restaurant equipment, including kitchen appliances, refrigeration, and furniture.

  • Excellent attention to detail and ability to read and interpret blueprints and specifications.
  • Strong negotiation skills and the ability to build relationships with suppliers and clients.
  • Ability to manage multiple bids simultaneously and meet deadlines.
  • Strong communication and interpersonal skills.
  • Ability to understand and meet customer needs in a consultative manner.
  • Self-motivated, with a proven ability to work independently and as part of a team.
  • Proficient in Microsoft Office Suite, Bluebeam, Auto Quotes and CRM software (Salesforce, NetSuite.).
  • Travel : Ability to travel occasionally for client meetings, trade shows, and site visits.
  • Physical Demands :

  • Ability to sit for extended periods while working on estimates and preparing bids.
  • Ability to occasionally lift up to 50 lbs. (e.g., product samples, marketing materials).
  • Frequent travel to customer locations, trade shows, and industry events.
