SUMMARY
Responsible for evaluating graduation applications, posting transfer credits, awarding degrees\certificates, and processing student record and enrollment changes following college policy. While reporting to the Registrar, this person works directly with Student Success Advisors, Academic Deans, and the Student Records Coordinator II to develop and streamline processes to increase student engagement, student retention and student graduation rates.
POSITION DESCRIPTION
- Ensure all final degree audits for graduation candidates are reviewed, that graduation statements are recorded on those who fulfilled their requirements, that diplomas are ordered.
- Support all Commencement and Graduation pre-activities by serving on the Graduation Committee, completing College Facility Usage forms, all College spaces, sharing the graduation candidate list with key offices, updating the Graduation web page, answering e-mails sent to graduation@kckcc.edu, creating a system to send graduation activity e-mails to the graduation candidates and presenting to Student, Staff, College and Faculty senates regarding graduation activity.
- Collaborate with the Technical Education Center and the Pioneer Center to ensure symmetry in graduation activities by supporting and providing guidance regarding graduation activities at their locations.
- process and troubleshoot the graduation application process for graduation candidates that supports activities and newly implemented systems to meet the College's Strategic Plan's objectives.
- Notify students who did not meet degree or certificate requirements and share the ineligible list of candidates with key offices, the Student Success Advisors, Program Coordinators, the Coordinator of Graduation and Transcript Services, and the Registrar.
- Assist with all Registrar Office functions, including processing transcripts, student record changes, withdrawal forms, student attendance and graduation verification, and student residency appeals.
- Verify and complete graduation verification information for past students.
- Assist with reconciling graduation and student record edit checks that need additional research.
- Responsible for maintaining diploma tracking reports, the integrity of the physical diploma files, and a final graduate file for each term.
- Receive, process, scan and link all graduation related and other student documents.
- Enforcing the College's compliance with FERPA and other federal regulations.
- Assist with additional duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
- Possess strong written and oral communication skills.
- Must demonstrate a commitment to and ability to work with a variety of student and faculty populations.
- High energy, self-starter who can work with minimal supervision.
- Ability to develop and maintain excellent working relationships and establish credibility with all levels of employee in the organization.
- Detail oriented.
- Working knowledge of Microsoft 365 applications, especially Word, Excel, and Outlook.
- Ability to manage several projects with multiple deadlines simultaneously.
MINIMUM QUALIFICATIONS
- Associate degree and Two (2) years of experience in a Student Services Office OR
- Bachelor’s Degree and One (1) year of experience in a Student Services Office.
PREFERRED QUALIFICATIONS
- Three (3) years of student affairs experience.
- Experience working in a Registrar or Student Advising Office.
- Experience with Ellucian Colleague or a similar student information system.
- Experience with Perceptive Content or a similar document imaging system.
- Fluent Spanish Speaker.

In performing the duties of this job, the employee is regularly required to stand, talk, hear, walk, and sit. Occasionally, the employee may need to push or lift items. WORK SCHEDULE
40 hours per week, during regular hours of Monday – Friday, 8:00 am – 4:30 pm. Must be able to work a variable schedule/hours to meet operational needs. May require evening and weekend hours.
