SUMMARY
The Police Operations Support Specialist plays a critical role in assisting the daily operations of the police department by providing high-level administrative support and coordination for various operational functions. This position requires a proactive and detail-oriented individual who can manage a variety of tasks in support of police operations, such as handling records, coordinating resources, assisting with crime data analysis, and ensuring seamless communication within the department.

The Police Operations Support Specialist will work closely with law enforcement officers, department heads, and community partners to ensure that department operations run efficiently, and that resources are allocated appropriately for community safety efforts.

 

POSITION DESCRIPTION

  • Operational Support: Provide administrative and operational support to law enforcement officers and department leadership. Assist in coordinating field operations, scheduling, and logistical support for department activities.
  • Data Management: Maintain, update, and organize operational data related to crime statistics, police reports, case progress, and personnel schedules. Use departmental software to track and report key data.
  • Documentation & Record Keeping: Assist in the preparation, filing, and management of reports, records, and documentation. Ensure compliance with record retention laws and department policies.
  • Communication Coordination: Serve as a point of contact for internal and external communications. Facilitate coordination between officers, supervisors, and other city or county departments.
  • Resource Allocation: Help ensure the appropriate allocation of resources (personnel, equipment, and supplies) during regular operations and in emergency situations.
  • Support Policy Implementation: Assist with the implementation and communication of departmental policies, procedures, and regulations to ensure they are followed across the department.
  • Project Management: Manage or assist in special projects related to crime prevention, community outreach, and departmental improvement initiatives.
  • Training and Support: Coordinate training schedules for officers and staff on new technologies, tools, or policies. Help maintain records of completed training sessions.
  • Community Interaction: Help facilitate communication between the police department and the community, ensuring transparency and public trust. Assist with public relations tasks as needed.
  • Performing other duties as required and/or assigned by the Chief of Police

KNOWLEDGE, SKILLS, AND ABILITIES

  • Law Enforcement Operations: A solid understanding of the fundamental operations and functions within a law enforcement agency, including criminal justice processes, report generation, and public safety initiatives.
  • Data Management Systems: Knowledge of and experience with records management systems (RMS), crime reporting software, and other law enforcement-related software tools.
  • Administrative Practices: Familiarity with standard office practices, including scheduling, file management, correspondence, and office equipment.
  • Compliance & Regulations: Understanding of relevant laws, regulations, and procedures for maintaining public safety records, ensuring confidentiality, and adhering to legal requirements.
  • Community Policing Practices: Awareness of community policing strategies and their application in fostering positive relationships between law enforcement agencies and the communities they serve.
  • Organizational Skills: Strong organizational skills with the ability to manage multiple tasks, prioritize competing demands, and maintain attention to detail.
  • Communication Skills: Excellent written and verbal communication skills, including the ability to prepare reports, deliver information clearly, and interact with the public and law enforcement personnel.
  • Problem-Solving: Ability to analyze issues, propose solutions, and assist in implementing plans to improve operational efficiency.
  • Technical Proficiency: Proficient in using office software (e.g., MS Office, Google Workspace) and law enforcement-specific systems (e.g., records management software, case tracking systems, and keyboard 60 wpm with accuracy).
  • Time Management: Ability to work under pressure and manage deadlines effectively in a fast-paced environment.
  • Adaptability: Ability to adapt to changing priorities, new technologies, and evolving operational needs in a law enforcement environment.
  • Collaboration: Ability to work effectively in a team environment and assist various department units to meet shared objectives.
  • Confidentiality: Ability to maintain strict confidentiality of sensitive information related to law enforcement operations, criminal investigations, and personal data.
  • Decision Making: Ability to make sound decisions quickly and efficiently, particularly during emergencies or situations requiring immediate action.
  • Customer Service Orientation: Strong ability to interact professionally and courteously with the public, departmental staff, and external partners.

MINIMUM QUALIFICATIONS

  • High school diploma or G.E.D. equivalent
  • One year of professional office experience

PREFERRED QUALIFICATIONS

  • Dispatching skills
  • An associate’s degree or higher
  • Bilingual
  • Budget experience
  • Certifications: job related certification

WORK SCHEDULE
40 hours per week, 8- hour shift during regular office hours of Monday – Friday 7:30 a.m. – 4:30 pm.—Fall/Spring Semesters, Hours and days may vary during the Summer Semester. Must be able to work a variable schedule/hour to meet operational needs. May require additional evening and weekend hours.
