POSITION PURPOSE
The Volunteer Coordinator manages the KHS volunteer department and all volunteers. This position is responsible for collaborating with all departments within KHS to ensure our mission is supported by an adequate volunteer base. The Volunteer Coordinator is responsible for planning, developing, implementing, and evaluating volunteer activities including volunteer engagement, appreciation, stewardship, training, staff/volunteer relations, communications, retention, tracking data and more.
The Volunteer Coordinator serves on the KHS Leadership Team and is expected to maintain communication with all departmental leadership to maintain and manage the entire KHS volunteer experience. This position will be required to learn a complete integrated comprehension of all KHS activities to effectively plan and coordinate volunteer activities and serve as liaison for volunteers.
The Volunteer Coordinator will be expected to be an example of the KHS Core Values and proactively collaborate with other community organizations. This position requires high levels of customer service, verbal and written communication skills, organizational skills, attention to detail, and time management. We are seeking a self- motivated and disciplined person for this role.
ESSENTIAL FUNCTIONS
Collaborate and lead recruitment efforts to grow the KHS volunteer department.
Manage all volunteer applications, complete on-boarding and training for all new volunteers, find the best placement and provide the best volunteer experience possible through stewardship, recognition and communication.
Maintain regular and open communication with volunteers to expand their opportunities as needed.
Manage the KHS volunteer experience for all types of volunteers from youth groups, to individual teen volunteers, specialized volunteers, scheduled, come and go volunteers, on and off site group projects, Dogs Day Out, corporate and individual volunteers for Woofstock and more.
Assist with the creation of volunteer schedules and tracking volunteer activities.
Identify areas of need within the shelter and adjust volunteer asks as necessary.
Prepare and maintain records and reports within the volunteer program.
Perform daily routine rounds and check in with volunteers on site.
Develop and maintain relationships with volunteers and other agencies to meet the needs of the organization and the community.
Provide timely, polite, and respectful internal and external customer service regardless of the circumstances.
Must remain calm, flexible, and willing to see other perspectives.
Develop effective strategies for recruiting new volunteers.
Lead orientation for new volunteers introducing them to the KHS mission, values and policies.
Collaborate with KHS leadership to determine volunteer needs and match volunteers with appropriate roles based on their skills and interests.
Recruit and schedule volunteers to ensure coverage for key KHS activities and events, both on and off site. This includes Woofstock, our largest annual fundraiser.
Ensure volunteers are properly trained for their roles.
Work with the CDO to prepare the annual budget for volunteer expenses and update projections as necessary.
Cultivate positive relationships with individual volunteers, as well as civic and corporate groups.
Recognize the contributions of volunteers with a special appreciation and information events from time to time.
Build recognition programs to honor volunteers.
Maintain accurate records of volunteer hours and personnel related information.
Conduct background checks on volunteers when required per KHSs procedures.
Ensure volunteers adhere to KHS policies, procedures and safety guidelines.
Address and resolve issues related to volunteer conduct and performance.
Regular and reliable attendance.
Other duties as determined by your supervisor.
Other Responsibilities
Develop and maintain good working relationships with community organizations and schools. Assist community groups, students, educators, and the general public seeking information on animal related issues and education.

EDUCATION/CERTIFICATION: High school diploma/GED, valid Kansas drivers license and dependable transportation.
EXPERIENCE PREFERRED: Minimum 1 year experience in an office environment. Previous experience in volunteer management or related role. Excellent organizational and communication skills. Strong leadership and team management skills.
REQUIRED KNOWLEDGE: Computer proficiency in a Windows and Microsoft environment. Respect for the human animal bond is a must.
REQUIRED SKILLS: High levels of customer service, verbal and written communication skills, organizational skills, attention to detail, and time management are a must. Self-motivated, disciplined, task oriented, follow verbal and written direction, and perform well with minimal supervision. Ability to present to, engage, motivate, and excite large groups.

Must possess the ability to work with people of all socio-economic statuses / backgrounds and adjust ones personal approach accordingly. Must be computer literate in a Windows environment and work well within a team of fundraising professionals as well as across departments in the organization.
WORKING CONDITIONS
This is a full-time, forty-hour per week position, hours are approximately 8 am 5 pm, Tuesday through Saturday, with occasional Sundays, evenings and holidays. Must be able to handle challenging customers calmly and respectfully on a daily basis. Must be comfortable handling dogs, cats, various small mammals on a daily basis. Noise exposure varies and often includes barking and other animal vocalizations. Animal waste contact, smells, and visual exposure are prevalent. Exposure to industrial cleaning supplies.
