POSITION PURPOSE
The Shelter Operations Specialist position must fully understand multiple departments’ operations and fill in when and where needed for the success of the KHS mission. This position bridges the knowledge gap between departments to support team members and leadership across multiple departments.
Provides timely and accurate performance of administrative duties in support of the Clinic, including, but not limited to surgical and medical data entry, scheduling of medical and surgical appointments, check-in and scheduling of Donor Subsidized Spay/Neuter patients, and courteous customer service.
Serves as a liaison between KHS and foster volunteers by coordinating the transfer of KHS pets to foster homes, managing the pets’ care while in these homes, and coordinating the pets’ return to KHS. The position trains new foster volunteers and places as many animals as possible with approved foster volunteers. This position maintains current records for all foster homes in accordance with state regulations. The position must assist the Veterinarian with medical appointments, including filling and administering medication and preventatives.
ESSENTIAL FUNCTIONS
Customer Service: Provides and models timely, polite, and respectful internal and external customer service regardless of the circumstances. Must remain calm, flexible, and willing to see other perspectives. Provides recognition and support to both staff and volunteers for their individual contributions to our agency. Must possess the ability to provide information regarding preventative healthcare policies, pet evaluation techniques, adoption policies, post-operative instructions, euthanasia.
Clerical: Performs accurate, complete, and concise entry of medical and surgical exam findings, test results, and vaccination history, using PetPoint and Luminate. Schedules Donor Subsidized Spay/neuter, medical, surgical, and externship appointments. Monitor & maintain record of clinic volunteer activity. Prepare Animal Health Certificates. Provides clerical assistance to other clinic staff as time allows.
Foster Coordination: Coordinate the relationship between foster volunteers and KHS. Provide behavior and medical information to the foster volunteer as needed and make sure all medical and behavioral services are performed as needed for each foster pet. Facilitate the foster home licensing required by the Kansas Division of Animal Health. Train new foster volunteers. Make sure the shelter has accurate records for all foster pets. Make sure all fees are collected and contracts signed as needed and stored in accordance with state regulations. Computer proficiency in Windows and Microsoft programs. Respond in a timely and professional manner to phone calls and emails received from any parties concerning foster pets.
Safety: Comply with KHS Safety policies and procedures in order to maintain a healthy and safe environment.
Animal Care: Perform basic exams, and understand normal vs. abnormal, and bring abnormal findings to the attention of the clinic. Perform appropriate and safe animal handling. Accurately complete forms and records so that communication within and between departments is clear. Good understanding of KHS preventative health care policies. Maintain a clean environment for both animals and people in the work area.
Training: Participates in staff training and development opportunities as requested. Participates in special events, projects, and cross training programs as needed.

Qualifications
EDUCATION/CERTIFICATION: High School Diploma or Equivalent
REQUIRED KNOWLEDGE: Knowledge of data entry, Microsoft programs, and phone etiquette.
EXPERIENCE REQUIRED: A background in a caregiving or customer service field. Should prefer and have the ability to cope with emotionally demanding work.
SKILLS/ABILITIES: Attention to detail a must. Needs to be flexible, efficient, and respectful. Should be able to exercise sound judgment and make independent decisions. Animal handling is preferred.

May work in areas with high noise level, occasional foul odors, dangerous animals, toxic chemicals, environmental contaminants, zoonotic diseases, and challenging customers. Adequate lighting. Adequate ventilation. Adequate seating. Adequate safety & protective products and equipment. May be required to work in excess of normal workday and work weekends.
