Position Title: Pain Center Business Office Supervisor
Department: Pain Center
Reports to: Pain Center Practice Manager
Status: Non-Exempt – Full Time
Position Summary
We are seeking a highly skilled and experienced Business Office Supervisor to oversee the financial and reception operations of our Pain Center. This role is responsible for ensuring the smooth, efficient, and compliant business operations including patient scheduling, billing, referral intake and adherence to regulations and policies.
The Business Office Supervisor must have a strong understanding of the revenue cycle, check in process, referral process and demonstrate and lead the team in exceeding the expectations of the patients we serve This candidate will oversee a team of more than 10 staff members, including front desk staff, authorization clerks, referrals coordinators, and Health Information Management (HIM). The ideal candidate will have extensive knowledge of office referrals, insurance carriers, and patient intake processes.
Key Responsibilities
- Oversee daily operations of the Pain Center’s business office, ensuring efficiency and compliance with financial and administrative processes.
- Manage and support front desk staff, authorization clerks, referral coordinator, and HIM teams, ensuring seamless workflow and patient experience.
- Monitor and optimize the revenue cycle, including insurance verification, billing, collections, and claims processing.
- Ensure accurate and timely pre-authorizations, referrals, and patient intake procedures.
- Collaborate with the Pain Center Practice Manager, providers, clinical staff, and administration to improve financial performance and operational efficiency.
- Develop and enforce policies and procedures related to business office functions.
- Maintain compliance with insurance carriers, billing regulations, and healthcare financial guidelines.
- Analyze financial reports, identify trends, and implement improvements to maximize revenue and reduce denials.
- Provide training, mentorship, and performance evaluations for business office staff.
- Ensure HIPAA compliance and proper handling of patient health information.
Qualifications
- Bachelor’s degree preferred in healthcare administration, business, or a related field.
- Five to seven years of experience preferred; minimum of three years required in revenue cycle management or healthcare business office leadership.
- Strong knowledge of insurance carriers, office referrals, authorizations, and intake processes.
- Proven ability to manage and develop a team of 10 or more employees in a healthcare setting.
- Experience with electronic health records (EHR) and practice management systems.
- Excellent organizational, analytical, and leadership skills.
- Ability to communicate effectively with patients, staff, and healthcare providers.
Preferred Skills
- Experience with HIM processes and regulatory compliance.
- Familiarity with pain management or specialty practice operations.
- Proficiency in medical billing software and reporting tools.
