Job Description – Leasing Consultant

The purpose of this job description is to communicate the responsibilities and duties associated with the position of Leasing Consultant. Job Brief:The Leasing Manager/Consultant is responsible for assisting the Property Manager and Assistant Property Manager (when applicable) in maintaining all aspects of property operations, but with a concentration on the Leasing, Marketing, and Resident Relations of the property.

Reports to:Leasing Manager/Assistant Property Manager, who then reports to Property Manager

POSITION DESCRIPTION

Process Administration

Carry out specific business processes, focusing on, but not limited to leasing activities to achieve property goals and objectives.

· Utilize Kaplan Management Company leasing expectations and procedures to warmly greet prospective residents, qualify, determine needs and preferences, professionally present the property and apartment homes, utilize feature/benefit selling, close the sale, and follow-up.

· Leasing Consultants must maintain a closing percentage of 33% or higher per quarter.

· Answer incoming phone calls professionally and handle accordingly, whether the caller is a prospective resident, a resident, an internal Kaplan Management Company team member, or a vendor.

· Take Maintenance requests in a complete and accurate manner, route them to maintenance for prompt processing, and conduct follow-up with residents.

· Ensure the leasing office, clubroom, models, and vacant apartments are clean and present a warm, welcoming image of the property. Clean, vacuum, and dust when needed.

· Physically inspect the property when on grounds, pick up litter and report any service needs to the maintenance staff.

· Complete all lease applications and participate in the verification of applications. Notify prospective residents of results.

· Complete all lease paperwork including related addendums.

· Accept rents and deposits from residents and prospective residents.

· Maintain accurate resident records in accordance with Kaplan Management Company policy.

· Update daily reports concerning notice to vacate, vacancy reports, activity reports, etc. daily.

· Organize and file all applicable reports, leases, and paperwork.

· Maintain an awareness of property performance goals and progress toward those goals, including occupancy, leasing, and closing ratios.

Customer Focus

Establish effective relationships with internal and external customers.

· Strive to meet resident needs and create win/win situations.

· Follow through on resident problems to satisfactory resolution and communicate problems to any necessary party to facilitate resolution.

· Regularly monitor resident satisfaction in person and through follow-up phone calls.

· Maintain awareness of local market conditions and trends and make suggestions for improving resident relations.

Communication
Communicate effectively in one-on-one and group settings, and written communication should reflect appropriate vocabulary, grammar, and word usage.

· Present property clearly and enthusiastically.

· Speak clearly and assertively when communicating with residents, prospective residents, internal Kaplan Management Company team members, and vendors.

· Create resident communications such as notices, renewal letters, newsletter, and flyers.

· Contribute to the creation and distribution of marketing flyers.

· Communicate regularly with the Property Manager and other team members regarding apartment status, traffic activities, and suggestions for improved property performance.

· Maintain confidential resident files and data.

Display effective sales while building positive relationships with prospective residents while keeping in compliance with all Fair Housing laws and guidelines.

· Utilize Relationship sales techniques as outlined in Kaplan Management Company training to build relationships with prospective residents and influence decision-making.

· Seek out and utilize available resources, including other Kaplan Management Company team members, training manuals and guides, Apartment Association, etc.

POSITION REQUIREMENTS

Work Hours

Monday through Friday during the property’s normal operating hours. Weekends will be required as necessary. On call: Emergency situations only.

Equipment/Machinery/Tools

Fax machine, copier, vacuum, telephone, personal computer, calculator, and adding machine.

Physical Requirements

1) Stand and walk or sit alternatively depending on specific needs of day. Estimate 60% of time is spent on feet and 40% sitting at desk.

2) Have frequent need (33% to 66% of time) to perform the following physical activities:

c. Push or pull Show and inspect property, close doors, cabinets

d. Reach above shoulders Inspect property, store supplies

3) Have frequent need (33% to 66% of time) to perform standing and walking activities related to inspecting and presenting property.

4) Constant need (66% to 100% of time) to perform the following physical activities:

a. Writing/typing Corporate, interoffice, resident communications

b. Grasp/grip/turning Telephone, doorknob use

c. Finger dexterity Operations of office equipment

5) Lifting/carrying (paperwork, deliveries, books, files, misc.):

a. Over 25 lbs. Rare need (less than 1% of time)

b. Between 10 – 25 lbs. Occasional need (1% to 33% of time)

c. Less than 10 lbs. Frequent need (33% to 66% of time)

Vision Requirements

1) Constant need (66% to 100% of time) to complete forms, read, and review reports, wide variety of correspondence, view computer screen. Frequent need to see small detail.

2) Frequent need (33% to 66% of time) to see things clearly beyond arm’s reach (inspecting property, neighborhood survey).

Hearing Requirements

1) Constant need (66% to 100% of time) to communicate over telephone and in person with vendors, corporate and resident staff, residents, and prospects.

Speaking Requirements

1) Constant need (66% to 100% of time) to communicate over telephone and in person with vendors, corporate and resident staff, residents, and prospects.

Driving Requirements

1) Frequent need (33% to 66% of time) to utilize personal transportation to inspect apartment property and surrounding neighborhood, make trips to bank and also visit Corporate office. Occasional travel may be required.

Working Environment

1) Constantly indoors. (66% to 100% of time)

2) Frequently outdoors, all conditions. (33% to 66% of time)

3) Occasional exposure (1% to 33% of time) to paint fumes, solvents, adhesives, etc. Example: apartment immediately during or after make-ready.

Job Type: Full-time

Pay: $19.00 - $23.00 per hour

Expected hours: 40 per week
