General Position Overview: The Office Administrator position is responsible for the day to day operations of the front office and providing support to the CEO and Director of Operations. This highly energetic and independent role interacts with nursing staff, clients and associates at all levels. This position requires a high level of professionalism, flexibility, discretion, as well as excellent problem solving and mult-tasking skills. The position also requires excellent organization skills and ability to maintain a well groomed reception area.
Job Duties and task list:
- Maintaining the administrative staff daily calendar as needed
- Scheduling and confirming patient appointments
- Notifying the administrative staff of confirmed appointments or changes to appointments in a timely manner.
- Responsible for maintaining an efficient front desk operation including:
- Receiving and sorting mail deliveries
- Answering incoming calls to include: taking/relaying messages; providing information to callers; screening and directing calls;
- Greeting guests, dealing with solicitors,
- Faxing documents
- Providing support to the management team as necessary
- Ensures knowledge of administrative staff movement in and out of the organization
- Manage & enter data in the orgnaization eletronic filing systems.
- Assist nurses with their registry of the organization electronic systems.
- Maintaining inventory of office supplies, forms and stationery and re-ordering as necessary
- Collect fees from nurses for In-Service Training
- Preparing letters, memos and documents
- Recognize and order gifts for patients (holidays and birthdays)
- Recognize and send condolences, get well soon, etc. cards to patients, administrative staff, or nurses.
- Mail KFK nursing documents to patients home as requested
- Maintaining an organized workstation and reception area
- Provide general administrative support and other duties as assigned by supervisor
Qualifications:
- Excellent organizational and time management skills, with strong attention to detail.
- Proficient in Microsoft Office applications, with skills in using computer programs for daily work activities.
- Knowledge of basic administrative and clerical functions.
- Courteous and professional demeanor at all times.
- Possess critical thinking skills, strong interpersonal and excellent customer service skills.
- Ability to follow oral and written instructions.
- Ability to prioritize and coordinate daily tasks maintaining efficient use of time with minimal supervision.
