We are seeking a detail-oriented and experienced Payroll Specialist to join our team. The ideal candidate will be responsible for processing payroll accurately and efficiently, ensuring compliance with company policies and legal regulations. This role involves handling payroll-related inquiries, maintaining records, and collaborating with HR and Finance teams to ensure smooth payroll operations.
Key Responsibilities:
- Process semi-monthly payroll for all employees, ensuring accuracy and compliance with federal, state, and local regulations.
- Review and verify timekeeping records, deductions, benefits, bonuses, and commissions before payroll submission.
- Maintain accurate payroll records, including tax forms, direct deposit information, and employee changes.
- Handle payroll-related inquiries from employees, resolving discrepancies in a timely and professional manner.
- Prepare and process payroll adjustments, including retroactive pay, off-cycle payments, and terminations.
- Ensure compliance with wage laws, tax regulations, and company policies.
- Work closely with HR to coordinate employee benefits, garnishments, and deductions.
- Generate payroll reports for management and assist in financial audits related to payroll.
- Stay up to date with payroll laws and industry best practices to ensure ongoing compliance.
Qualifications & Skills:
- Education: Associate or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred but not required).
- Experience: Minimum of 5 years of payroll processing experience, preferably in a multi-state or corporate environment.
- Technical Skills:
- Proficiency in payroll software such as Paylocity. (Preferred)
- Strong knowledge of payroll laws, tax regulations, and wage/hour compliance.
- Experience with Microsoft Excel and data analysis tools.
- Soft Skills:
- High attention to detail and accuracy.
- Strong problem-solving and analytical skills.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with integrity and discretion.
Preferred Qualifications:
- Experience in handling benefits, 401(k) contributions, and reconciliations.
- Knowledge of multi-state payroll processing.
