I. Job Purpose and Core Tasks This role will support Site Management (and other members of the KSEA-OR1 team as directed). The core duties and responsibilities of the Administrative Assistant will vary widely. On any given day, the position may perform a variety of tasks, such as, but not limited to: * Leadership Support: * Effectively communicates via phone and email in support daily activities. * Ensuring that all duties/projects are completed accurately and delivered with highest quality on time. * May direct and lead the work of others. * With sound judgment, plans and accomplishes goals with wide degree of creativity and latitude. * Attends team meetings and produces subsequent minutes / actions. * Leads hospitality support including for example travel, expense reporting, events, visitor, and catering needs. * Generates reports and creates presentations. * Facility Support: * Supports events and celebrations, managing organization and execution. * Maintains vendor list and supports budget data input for facilities requirements. * Ensures all invoices are accurate, submitted and paid on time. * Maintains employee list and access card numbers, manages access control. * Supports business continuity initiatives and associated trainings/communications. * Coordinates site communications alongside HR and leadership. * Site Support: * Site events and quality connections, digital signage content, community engagements * Submits newsroom, fundraiser, event stories to corporate marketing/communications. * SharePoint departments site administration. * Special projects as assigned by leadership. * Identifies and resolves issues and/or escalates issues in a timely fashion to Site Manager. * Delivers engaging, informative, well-organized communication. * Works in the office regularly. * Occasionally performs work beyond a standard 40-hour work week when workload requires. * Performs other job-related duties or special projects as assigned. II. Minimum Knowledge, Education and Skill Requirements Required: Minimum years of relevant work experience: * 4 with Associate's Degree; 7 with High School Diploma Minimum education, certifications and/or credentials: * Associates degree in Mathematics, Economics, Information Management, Statistics, Business, or other relevant field with expose to data analytics, or equivalent combination of education and relevant experience Minimum hard skill requirements (including computer and application proficiency): * Proficient in MS Office including Outlook, Word, Excel, PowerPoint, Visio etc Minimum soft skill requirements: * Excellent time management skills and ability to multi-task and prioritize work * Attention to detail and problem-solving skills * Excellent written and verbal communication skills * Strong organizational and planning skills * Strong ethics and ability to maintain confidentiality in all aspects of business/staff/client information * Ability to draft correspondence on behalf of the department * Ability to maintain confidentiality Preferred: Preferred years of relevant work experience: 2 Preferred education, certifications and/or credentials: * Bachelor's degree in Mathematics, Economics, Information Management, Statistics, Business, Marketing, Communications or other relevant field Preferred hard skill requirements: * Experience with Microsoft tools (MS-Project, SharePoint, OneDrive, Teams, OneNote) Preferred soft skill requirements: * Excellent active listening skills * Ability to establish and maintain strong relationships at all levels of the organization * Must be a team player and able to work collaboratively with and through others * Ability to work closely with management to prioritize information needs and communicate timelines #LI-AA1
