We are seeking a motivated and detail-oriented Project Coordinator to join our team and work closely with our Executive Team, primarily reporting to our COO. This role is essential in making sure all of our projects stay on track, organized, and up-to-date to ensure clear deliverables for everyone involved including our internal team members, external vendors as well as clients. Key Responsibilities and Goals you will own:
- Maintain and update all details relating to projects from beginning to end including but not limited to schedules, gantt chart updating, vendor communications, subcontractor updates, task lists, deadlines, team member requests, client selection coordination, etc. Buildertrend is our primary project management platform.
- You will live in Buildertrend : ).
- Manage all duties related to permitting, including preparing and submitting permit applications, tracking approvals, and ensuring compliance with local regulations.
- Coordinate with COO or Senior Project Manager to ensure all project documentation is accurate and current.
- Communicate with team members, subcontractors, and vendors to gather required information, estimates, inventory ordering, QC of inventory, shipping coordination and resolving scheduling conflicts.
- Communicate with the Accounting team to manage proper data sync of job codes.
- Monitor project progress and alert the team of potential delays or roadblocks.
- Assist in preparing reports, budgets, and timelines to track overall project health.
- Support COO and Senior Management in maintaining seamless communication and task delegation among team members.
- Organize and manage project files, contracts, permits, and other documentation.

Experience and requirements:
- Proven experience as a Project Coordinator, Administrative Assistant, or in a similar role within the construction or real estate industry.
- Proficiency in project management tools; experience with Buildertrend is highly preferred.
- Familiarity with permitting processes and local regulations related to construction; preferred knowledge of the St. Petersburg, Indian Rocks Beach, Bellair Beach municipalities specifically.
- Fundamental understanding and experience of all Google Workplace Apps, Microsoft Office Suite and other relevant software.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize effectively in a dynamic work environment.
