Summary: The Executive Manager, Back of House (BOH) at Katalina's oversees café operations from a Back of House perspective across multiple locations. Responsible for achieving sales targets, managing costs, controlling labor, ensuring employee hiring and retention, assists in menu creation and training, vendor negotiations and sourcing, mentors staff, upholds brand standards and policies and procedures and prioritizes customer satisfaction. Reports directly to the owner, partners with Exec. Manager, FOH, and serves as the face of Katalina's, advocating for the brand and aligning operations with company values and goals. The Executive Manager, BOH, represents and reflects Katalina’s mission of making the world better one little bite at a time.
Key Roles & Responsibilities:
Quantitative:
Food & Paper Costs
- Enforce accurate portioning, plating presentation and garnish set-up for all dishes per Katalina’s recipe book standards and take into account Katalina’s standards, assuming 100% responsibility for quality of products served (low refires and zero refunds)
- Manage and account for waste to ensure food costs remain in line with goals
- Ensure food cost goals are met by enforcing food and meal policies, limiting discounts and refunds
- Work directly with the owner during the new recipe creation process to ensure accurate menu costing by writing and enforcing accurate recipes, training staff on execution and portion control and creating and enforcing par lists
- Sourcing items and negotiating pricing with vendors
- Work with Executive Manager, FOH and FOH Manager to follow proper 86 routines if necessary
- Ensure par sheets are updated and correct and that all items are prepped according to business needs
Hourly Labor
- Ensure the Back of House (BOH) schedule is posted and accurate on a monthly and weekly basis. Enforce time-keeping policies and ensure staff is on time, cutting employees based on sales as appropriate
- Ensure cafes are covered from a labor perspective, but not overstaffed, enforcing and managing schedule according to business needs versus employee needs
- Ensure staffing and coverage at all locations at all times, cross-scheduling and monitoring overtime if needed
Ordering
- Stock and maintain sufficient levels of food products at line stations to assure a smooth daily service
- Ensure accurate and timely ordering
- Keep meticulous records of inventory, sales and food waste, overseeing monthly inventory
- Balance world-class sourcing with shrewd pricing and negotiations
- Hold vendors accountable for excess, mispicks and spoiled items and other agreements (eg., shopping for out-of-stock items)
- Ensure invoices, drop sheets and receipts are accurate/reconciled and turned in
Hiring and Training
- Collaborate with HR on staffing requirements, scheduling interviews, hiring, onboarding and training
- Work with owner and HR to ensure all necessary positions are filled, reassessing positions for business needs as appropriate
- Ensure all cooks, dish and prep positions are filled with the best possible people
- Train new BOH staff according to training manuals and brand standards
- Balance staff retention with ensuring that the right people are in the right positions
Policies & Procedures
- Be a brand advocate and support the business first and foremost by ensuring policies and brand standards are enforced equally and consistently
- Maintain, delegate and enforce BOH checklists
- Attend all scheduled manager meetings, bringing suggestions for improvement and download the staff on pertinent information. Be proactive in suggesting improved policies, procedures and best practices.
- Write and deliver annual performance evaluations for employees
- Enforce documentation process and coaching in a consistent and timely manner for clarity, setting staff up for success
- Enforce policies and procedures (including FOH), including phone policy, employee meal policy, and health code policies as well as opening and closing procedures
- Remain compliant with the Person in Charge servsafe certifications and fire safety scheduling, adhering to Health and Fire Code at all times
Operations
- Ensure clean and sanitary work stations, following and enforcing Health Code at all times
- Oversee BOH ordering and inventory management, updating Order Guide as appropriate
- Execute monthly inventory for BOH on the last day of the month and turn in to accounting
- Work with the Chief of Facility Operations to maintain the maintenance schedule and call out any broken equipment or facility issues, including pest control issues

- Ensure preparation, plating, packaging, food presentation and quality meets or exceeds Katalina’s standards
- “Under-promise and over-deliver” while still enforcing refund and credit card policies
- Collaborate with the owner on menu updates and process improvements to enhance the brand
