Qualifications:
High School Diploma or GED
Proficient in Microsoft Office applications and file maintenance skills
Excellent organization, communication, and interpersonal skills
Successful work experience in a school or office setting
Initiative and good judgment in working with people
Knowledge of time-keeping and financial systems
Expertise in the use of computer and associated systems
Experience with budget and general bookkeeping
Digital organization and familiar with software input and reporting
Ability to follow procedures with minimal supervision
Typing skills; at least 50 wpm
Work with confidential material
Primary Purpose:
Provide secretarial support and office management for the director and the programs.
Major Duties and Responsibilities:
- Compose and complete correspondence, reports, agendas, memos, etc.
- Daily telephone communication with staff, community, and vendors.
- Receive, process, and distribute department mail.
- Maintain appointment calendars as directed by supervisors.
- Coordinate communications with department staff.
- Maintain attendance and HR records for department staff.
- Assist other department staff with projects as needed and as directed by supervisors.
- Keep reports up-to-date, record, and distribute as appropriate.
- Make travel arrangements.
- Order and maintain office supplies.
- Maintain filing system.
- Process purchase order requests and receiving.
- Work in multiple software programs in order to accommodate the needs of the department.
- Process and update access cards for Administration.
Equipment Used:
Personal computer, printer, and multi-function copier.
Working Conditions:
Maintain emotional control under stress. Work with frequent interruptions. Repetitive hand motions.
