Reports To: Executive Director of Fine Arts
Duty Days: 228 Days
Wage/Hour Status: Non-Exempt
Pay Grade: AS03
Qualifications:
High school diploma or GED, college hours preferred
Highly proficient in MS Excel
Excellent organization, communication, and interpersonal skills
Ability to work in fast paced environment with little or no supervision
Minimum of five years office experience preferred
Communicates effectively and professionally with district personnel and vendors
Experience in MUNIS or other financial software preferred
Ability to meet established deadlines with minimal supervision
Knowledge of budget and accounting procedures preferred
Ability to prioritize and complete tasks in a timely manner
Strong analytical skills needed
Primary Purpose:
To perform all purchasing/receiving/account maintenance for the Katy ISD Fine Arts Department. Manage fine arts budget to ensure efficient spending.
Major Duties and Responsibilities:
- Complete the purchase order life cycle (purchase requisitions, POs, receiving records).
- Process all Fine Arts deposits in accordance with district policies.
- Request all pre-pays for vendors/clinicians as needed.
- Assist Executive Director of Fine Arts in budget preparation.
- Input warehouse requisitions for various Fine Arts entities.
- Prepare monthly financial reports as requested.
- Assist music directors/vendors with purchasing procedures.
- Process employee expense reports.
- Maintain petty cash account in accordance with district policy and procedures.
- Attend all required financial clerk in service/meetings and trainings as required.
- Track maintenance fees for district owned instruments.
- Provide backup for transportation management software for transportation requests.
- Provide backup for other office positions from time to time and assume additional duties as assigned.
- Manage overall budget.
- Reconcile accounts as needed.
- Work with Financial Services regarding procurement methods and procedures.
Equipment Used:
Personal computer, printer, copier, and scanner.
Working Conditions:
Work with frequent interruptions, maintain emotional control under stress. Repetitive hand motions. Occasional prolonged and irregular hours. Frequent lifting and carrying.
