Qualifications:
High school diploma or GED
Extensive data base knowledge and management
Excellent organization, communication, and interpersonal skills
Extensive Experience with MS Office
Ability to follow procedures with minimal supervision
Work with confidential material
Experience with EERP preferred
Primary Purpose:
Provide secretarial support and programs management assistance for two Assistant Directors and back up assistance for the Executive Director as needed.
Major Duties and Responsibilities:
Private Lessons Secretary
- Track and input weekly attendance for PLP students throughout the district (approximately 2000)
- Prepare monthly PLP instructor invoices, input payments and collect past-due accounts
- Prepare deposits
- Process PLP instructor applications
- Track PLP expenditures and prepare monthly financial statements
- Update/rewrite PLP guidelines for parent, instructor, and director as needed
Secretary to the Assistant Director(s) of Fine Arts
- Maintain appointment calendar for the Assistant Director of Fine Arts
- Make travel arrangements for the Assistant Director of Fine Arts
- Facilitate all district Visual Arts and Elementary Music events
- Type correspondence, reports, agendas, memos, etc.
- Daily telephone communication
- Assist with processing and distributing of mail
- Coordinate communications with department personnel
- Make and distribute copies
- Update, record and distribute daily and monthly reports
- District wide Elementary Choral Workshop planning and implementation
Visual Art Events Coordinator
- Notification of Event deadlines and criteria to visual arts teachers
- Catalog/Intake of art pieces of all contests for grades K-12
- District wide Elementary Choral Workshop planning and implementation
- HLSR Student Art Auction and Spring Arts show intake and award tracking
- Perform other tasks and duties as assigned by supervisor

Computer, printer, copier
Working Conditions:
Maintain emotional control under stress. Work with frequent interruptions. Prolonged use of computer and repetitive hand motions. Occasional prolonged and irregular hours. Frequent lifting, carrying, standing, stooping, bending, kneeling, pushing, and pulling.
