Pay Grade: AS05
Qualifications:
Bachelor’s Degree preferred
Minimum 3 years secretarial/financial office experience
Excellent customer service skills
Excellent event staging and analysis experience
Excellent organization, communication, and people skills
Budget management experience
Initiative and good judgment in working with District and campus personnel and community volunteers
Ability to work independently with precision on multiple projects with tight deadlines
Ability to follow procedures with minimal supervision
Uphold confidentiality in all areas/offices of the department
Ability to work with deadlines, manage frequent interruptions, and multitask
Proficient software experience with Microsoft Office suite of programs
Google Suite and Adobe Suite familiarity a plus
Primary Purpose:
Provide administrative support for all Partners in Education and Katy ISD Education Foundation programs. Support Executive Director of Community Partnerships as needed.
Major Duties and Responsibilities:
- Provide administrative support for Partners in Education and Katy ISD Education Foundation office operations, meetings and events.
- Maintain financial records, completing purchase orders, and pre-approving check requests, employee expense reimbursement, warehouse, print shop and other financial forms for the department.
- Create and manage department schedule managing facility reservations, both internal and external, for both Partners in Education and Katy ISD Education Foundation.
- Coordinate other Katy ISD Department event support, including but not limited to, facility reservations, venue staff support, catering, technology.
- Liaise with community volunteers providing Partners in Education and Education Foundation event and program leadership.
- Develop and maintain main database (record) of all event/meeting participants.
- Track event data and costs.
- Position requires frequent interaction with the public, Katy ISD campuses and administrative departments.
- Represent the department in a professional and articulate manner in all communications.
- Maintain accurate time records for department full time staff and substitutes.
- Provide exceptional customer service for all parties engaged in Partners in Education and Katy ISD Education Foundation programs.
- Frequent before and after business hours responsibilities.
- Other duties as assigned by Executive Director of Community Partnerships.
