POSITION SUMMARY:
Under the direction of the Physician, the Medical Assistant is the first point of contact between Kayal Medical Group’s clinic and our patients. The position is considered a crucial link between the patient and the care delivered by clinic staff and providers. The incumbent must work collaboratively with all staff in support of direct patient services, exhibiting flexibility and a positive attitude, with the goal of fostering an environment which promotes patient comfort and trust. The position must exemplify the core values and mission of the organization, always exercising utmost discretion, diplomacy, and tact in patient/staff interactions.
EXPERIENCE/EDUCATION:
- High school diploma or GED required.
- Medical Assistant Certificate required.
- Bachelor’s degree related to Health Care Administration/Business Management/Administration preferred.
- Minimum 1-3 years’ experience in related field.
- Good working knowledge of medical terminology; working knowledge of healthcare insurance preferred.
- Knowledge of computer and relevant software applications.
- Knowledge of general administrative and clerical procedures.
DUTIES/RESPONSIBILITIES:
- Welcome and acknowledge all patients and visitors promptly and courteously; ensuring to always make eye contact.
- Register, check in and discharge patients according to established protocols.
- Optimizes patients' satisfaction, provider time, and treatment room utilization.
- Comforts patients by anticipating patients’ anxieties; answering patients’ questions/delivering high standard of care.
- Helps patients in distress by responding to emergencies calmy and sense of urgency.
- Keeps patient appointments on schedule by notifying provider of patient’s arrival; reviewing service delivery compared to schedule; reminding providers of service delays.
- Ensures eligibility of insurance for appropriate visits and tests.
- Ensures availability of treatment information by accurately filing and submitting patient’s correct medical functions (i.e. CAIR immunization registry, Progress Notes, etc.)
- Maintains accurate patient accounts by obtaining, recording and updating personal and financial information.
- Accurately and thoroughly updates all medical visits and procedures that are being performed by the physician in CAIR and Progress Notes system.
- Ensures all referrals and physician-dictated diagnoses, prescriptions, instructions for patient self-care and follow-up are fully documented.
- Ensures patient medical history and physical exam are thoroughly screened and documented.
- Performs the following orders and work-up: taking vital signs, Blood Glucose Check, pulse Oximetry, PPD placement and reading, blood draw, injections admin (Medrol/SQ).
- Review, spot and vocalize any mistakes or inconsistencies noted in medical documentation, CAIR and Progress Notes to reduce critical errors.
- Transferring phone lines to and from exchange company. Closing duties including faxing dailies to HealthSmart MSO and putting all reports in an envelope with the petty cash collected.
- Protects patients' rights by maintaining confidentiality of personal and financial information.
- Maintains operations by following policies and procedures; reporting needed changes.
- Contributes to team effort by accomplishing related results as needed.
- May perform other clerical duties and tasks to improve provider productivity and clinic workflow as assigned.
- Scan medical Hx records, send out medical records as needed and complete appropriate forms (DMV, etc.).
- Chart prep, check voicemails and call new patients a day ahead to register for appointment.
- Review cases for all providers.
- Stock patient rooms weekly and notify admin if supplies are needed.
- Assist with check out and schedule follow up appointments as needed.
KEY COMPETENCIES:

- Ability to remember large amounts of information, handle multiple tasks at once; ability to stay calm, clearheaded and able to work with people who might be ill, stressed, or tired.
- Familiar with medical coding, insurance billing practices, and software that is commonly used in medical facility offices.
- Impeccable spelling and grammar when completing professional documents or communicating in writing.
- Excellent verbal communication skills; collaborative verbal communication with all team members
