S3 subsidiary, KBFS, is seeking an Airfield Operations Admin Assistant, to support ongoing operations in Geneva, AL.
Military experience is a plus. This is not a teleworking position.
Position Overview:
The Airfield Operations Administrative Assistant plays a vital role in supporting the smooth and efficient operation of the Geneva Municipal Airport Fixed Base Operations (FBO), including airfield support, refuel activities, and customer service. This position involves handling administrative tasks related to airfield operations, ensuring that necessary documentation and communication are completed in a timely and accurate manner. This position is primarily in support of airfield operations from 3 PM to 11 PM daily, but on occasion may accommodate shift changes. The ideal candidate will be detail-oriented, organized, and possess strong communication skills to ensure effective coordination across teams.
Administrative Support:
- Provide administrative assistance to the airfield operations and refuel team, including maintaining records, reports, and schedules.
- Draft, proofread, and file correspondence, operational documents, and reports related to airfield activities.
- Assist with preparing and updating standard operating procedures (SOPs) and safety documentation.
- Manage and update airfield operation logs and ensure all records comply with regulatory requirements.
Coordination & Communication:
- Communicate with airport personnel, including ground services, fuel handlers, customers, and other departments to ensure seamless airfield and refuel operations.
- Assist in coordinating meetings for airfield operations, including maintaining calendars and preparing agendas.
Compliance & Reporting:
- Ensure compliance with safety regulations and airfield operating procedures.
- Maintain and update airfield operation databases and tracking systems.
- Assist in the preparation of monthly, quarterly, or annual performance and safety reports.
Operational Support:
- Monitor and track airfield fuel operation activities, including aircraft arrivals, departures, and ground handling services.
- Provide support for emergency response coordination, ensuring accurate documentation during incidents or drills.
Data Management:
- Enter and update operational data into various systems.
- Assist with inventory management for airfield-related supplies, including ordering and tracking.
- Assist with credit card processing for fuel customers, ensuring quick turnaround for arrivals and departures.
- Assist with customer support, which may include driving a golf cart from operations to the hangar, assisting in operations kitchen duties, shuttling food and customers, etc.
Required Education:
- High School Diploma or equivalent (required).
- Associate's degree in business administration, aviation management, or related field (preferred).
Required Experience:
- One year of administrative experience or two years of administrative training instead of job experience.
- This is an entry-level job with growth potential.
- Previous administrative experience, especially in aviation or airport operations, is a plus.
- Must be proficient (rating 3 out of 5 minimum) in Microsoft Office tools.
- Basic knowledge of airport operations and regulations is a big plus.

- Must be able to lift up to 15 pounds.
- Must be able to pass a basic background and security check.
- Occasional exposure to airfield environments, including noise and various weather conditions based on refuel requirements.
