Job Summary:
The Production Coordinator (PC) role is vital in ensuring the success of remodeling projects from contract signing to start of construction. Preparing designers and project directors to ensure that projects consistently stay on track. The scope of duties covers a wide range of tasks, including but not limited to, creating schedules, ordering materials, and communicating with clients, vendors, and subs while maintaining relationships.
The PC is a behind the scenes position involved in details of projects from the initial consult through construction. The PC is responsible for managing project details including project estimates, material quotes, construction permits and documents.
Duties/Responsibilities:
- Estimate Coordination – Assist designers with material cost estimates and development of project estimate details.
- Material Quotes – Assist designers with obtaining quotes and updating selection details in Buildertrend.
- Material Procurement – Manage purchasing process for all project finish materials.
- Permitting – Obtain necessary permits for projects.
- Production – Assist Project Directors by obtaining quotes or other necessary details for change orders and in-field issues as they arise.
- Team Communication & Management - Communicates regularly with production manager, vendors, subs, design team, team leads, and project directors to maintain project clarity and team coordination.
- Adherence to Company Procedures – Follows procedures in accordance with company standards and procedural guidelines. Contributes to process improvement.
- Problem-Solving - Address challenges and unexpected issues that arise, finding solutions to stay on track. Adapts to process change.
- Company Values – Understands and embodies the mission and values of KCBR.
Required Skills/Abilities:
- Bachelor’s Degree or 3-5 years in the residential remodeling/building industry required.
- Working knowledge of scopes of work, contracts, plans, and specifications required.
- Proficient in microsoft office programs including Excel, Outlook, and PowerPoint required
- Maintain excellent organizational abilities with schedules and tasks, while utilizing resources efficiently, and exhibit proficiency in multitasking.
- Ability to remain flexible and efficient in a fast-paced environment and adapt to change.
- Possess strong critical thinking skills to effectively address challenges and find solutions quickly, even when under pressure.
- Experience with Buildertrend or Project Management Software preferred.
Success Measurements:
- Quote Management - Ensures materials are estimated accurately for the estimate phase. Ensure materials are quoted and recorded in Buildertrend correctly for the selection phase.
- Order Management – Accurately order all materials for projects. Confirm tracking and documenting material orders for all jobs, ensuring nothing will delay the construction schedule. Ensures all pricing is accurate with approved selections, and clients are billed accurately.
- Communication - Effectively communicates with designers, project directors, management, and field team members, solving problems effectively and proactively. Responsible for keeping designers and project directors informed of any schedule or material impacts. Demonstrates a sense of urgency to keep projects on schedule, meeting contractual obligations.
- Buildertrend Proficiency - Proficiently utilizes Buildertrend and assists in updating templates and training team members; ensuring accurate input of information needed. Possesses comprehensive knowledge of KCBR phases and ensures adherence to company procedures and standards throughout the project.

Vacation / Paid Time Off (PTO)
Full-time employees become eligible for Paid Time Off (PTO) after six months of employment. PTO is accrued as follows:
- 1-2 years of service: 15 days
- 3-4 years of service: 17 days
- 5 years of service: 20 days
5 Paid Holidays
PTO Buyback/ Rollover Policy
Employees may carry over up to three unused PTO days into the next calendar year or choose to receive a payout for 50% of the value of unused PTO. A combination of rollover and payout is allowed, up to a maximum of five days.
