Job Title: Customer Service Representative
Job Summary:
We are seeking a Customer Service Representative who is fluent in Portuguese to support our Portuguese-speaking clients and join our team. The Customer Service Representative will serve as the primary point of contact for customers, providing exceptional service and support. This role involves managing customer inquiries, processing orders, handling complaints, and ensuring customer satisfaction. The representative will work closely with various departments, including sales, logistics, and quality assurance, to deliver a seamless customer experience.
Fluency in both spoken and written Portuguese is required.
Responsibilities
- Serve as a liaison and primary contact between the Business Development Manager, customer, and internal company staff to manage and develop business for multiple customer accounts, and to assure excellent customer service and customer satisfaction.
- Build and maintain strong relationships with potential and existing customers.
- Process purchase orders in MAS, including verification of pricing, and facilitate shipping deadline coordination with customers and internally by participating in weekly Shipping Meetings.
- Provide documentation to customers with order status updates including Order acknowledgments, Order Confirmations, batch records, CofAs and Bill of Ladings.
- Assist with POs, scheduling, tracking and disposition of discrepancies with customer supplied raw material, and facilitate with internal departments as applicable.
- Support Business Development to generate new business by sending samples, informational brochures, etc..
- Generate and facilitate approvals for change requests related to new products, existing products and/or change in raw material specifications and MBRs.
- Maintain accurate records of customer interactions, transactions, and complaints.
- Generate and analyze reports to track customer service performance and identify areas for improvement.
- Excellent written and verbal communication skills required to communicate with customers, all internal departments and management team.
- Support Marketing & Sales KPI targets including inquiries, revenue, margins, new business, forecast accuracy, customer satisfaction and over dues...
- Monitor and communicate with the lab regarding the final completion of pending COAs for products released under quarantine.
- Prepare preliminary COAs to send to the customer along with pre-shipment samples
Qualifications
- Excellent communication skills, including phone etiquette and written correspondence
- Strong data entry skills with attention to detail for accuracy
- Proficiency in using customer service software, CRM systems, and Microsoft Office Suite to multitask and manage time effectively in a fast-paced environment.
- Knowledge of pharmaceutical products and industry regulations is a plus.
EDUCATION REQUIREMENTS
Bachelor Degree in Pharmacy, Chemistry, Biochemistry or equivalent work experience.
