Position Overview:
We are seeking a motivated and experienced Proposal Coordinator to join our dynamic team. This role is critical in managing and coordinating the preparation of high-quality proposals and marketing materials. The ideal candidate will collaborate with technical staff and ensure the timely and accurate submission of proposals that meet client requirements and align with internal standards. This is a hybrid position, offering the flexibility to work remotely and from one of our office locations in Orlando, FL, Stuart, FL, Pensacola, FL, or Ann Arbor, MI.
Key Responsibilities:
- Manage and coordinate the proposal development process, including scheduling, writing, editing, and production.
- Collaborate with technical staff to gather and develop proposal content that highlights the firm's capabilities and experience.
- Review and interpret client solicitation documents (RFPs, RFQs, RFIs) to ensure compliance with requirements.
- Create compelling and customized proposals, statements of qualifications, and other marketing materials.
- Maintain proposal schedules, ensuring adherence to deadlines and milestones.
- Oversee quality control processes to ensure proposals are error-free, consistent, and professional.
- Develop and maintain proposal templates, boilerplate content, and a library of past performance data.
- Conduct post-proposal debriefs to identify lessons learned and implement improvements in the proposal process.
- Support other marketing and business development initiatives as needed.
Qualifications and Requirements:
- Bachelor’s degree in a relevant field (e.g., Communications, Business Administration, Marketing, or related discipline).
- Minimum of 3 years of experience managing government contracting proposals, preferably in the engineering or environmental consulting industry.
- Demonstrated understanding of federal, municipal, and private client procurement processes.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills, with the ability to craft clear, compelling content.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Creative Suite (InDesign preferred).
- Familiarity with CRM systems and proposal management tools is a plus.
- Ability to manage multiple projects simultaneously in a deadline-driven environment.
- Availability to work in a hybrid role, reporting to one of our office locations in Orlando, FL, Stuart, FL, Pensacola, FL, or Ann Arbor, MI.
