As a Payroll and Benefits Specialist, you will be integral to the management of payroll operations and benefits management within our organization. Reporting directly to the Payroll and Benefits Manager, this position necessitates a strong understanding of accounting principles and sound knowledge in payroll software, including HRIS systems such as Paycom, ADP or similar. Your responsibilities will encompass managing payroll processes, administering employee benefits, and providing support for workers compensation and 401(k) plan administration. You will apply your skills in data entry and financial analysis to ensure precise payroll processing and adherence to regulatory requirements. Your attention to detail and exceptional organizational skills, along with proficiency in accounting software will significantly contribute to our operational efficiency, establishing you as an essential member of our human resources team. While being bilingual is advantageous, it is not a requirement for this role.
Key Responsibilities
1) Payroll Management:
Oversee and manage the complete payroll process, including accurately calculating wages, bonuses, commissions, and deductions for weekly, bi-weekly and monthly payroll. Prepare and distribute payroll reports, statements, and summaries for management and employees.
Ensure all payroll transactions are processed accurately and in a timely manner, including new hires, terminations, and changes to employee information.
Ensure compliance with applicable wage and hour laws.
2) Benefits Administration:
Administer employee benefits programs, including health insurance, retirement plans, and other perks.
Manage benefit enrollments, changes, and terminations in a timely manner.
Serve as the primary point of contact for employees regarding payroll and benefits inquiries, providing excellent customer service and resolving issues promptly.
Support the annual benefits open enrollment process, including communication to employees and coordination with benefit vendors
3) 401(k) Administration:
Manage 401(k) plan enrollments, changes, and contributions.
Coordinate with plan providers to ensure compliance and accuracy.
Support annual 401(k) audits and required reporting.
4) Workers’ Compensation:
Assist with the administration of workers’ compensation claims.
Serve as the liaison between employees, insurance providers, and internal teams.
Ensure timely reporting and resolution of claims and maintain proper documentation.
5)Compliance and Reporting:
Ensure payroll and benefits compliance with federal, state, and local regulations.
Support internal and external audits by providing necessary documentation.
6) Employee Support:
Act as the point of contact for payroll, benefits, workers’ compensation, and 401(k)-related inquiries.
Provide education to employees on payroll processes, benefits options, and retirement plans.
Qualifications
Bachelor’s degree in human resources, Business Administration, Accounting, or a related field (preferred).
2+ years of experience in payroll and benefits administration, including 401(k) and workers’ compensation.
Proficiency with payroll systems (e.g., Paycom, ADP, or similar).
Strong knowledge of payroll laws, tax regulations, benefits compliance, and workers’ compensation processes.
Excellent attention to detail and organizational skills.
Strong communication and interpersonal skills.
Bilingual skills (e.g., Spanish, French) are a plus but not required.
