Qualifications:
Required: High School Diploma or equivalent. Ability to maintain files and prepare various reports. Must have computer experience with high-level proficiency Microsoft Office systems (Word, Excel, Outlook, etc), exceptional communication and interpersonal skills, and the ability to operate general office equipment and to build positive office relationships.
Preferred: At least 3 years’ experience in an administrative assistant position, Bilingual.
FLSA: Non-Exempt
Salary Schedule: Per Approved Support Staff Salary Schedule
Direct Report: Parents as Teachers Supervisor
Terms of Employment: 12 month, Part Time with an average of 25 hours per week
Eligible for emergency telework: With Supervisor approval
Purpose: Provides a variety of administrative support to assigned administrator and department: establishes and maintains department records; coordinates assigned projects; compiles and distributes a wide variety of material and reports.
Essential Job Functions:
- Attend work in a regular, reliable and punctual manner.
- To “telework” when requested by the District.
- Provide administrative support to respective department with reporting, communication, and scheduling and event coordination.
- Act as a department receptionist, greeting visitors, answering telephone calls in a friendly and professional manner, and communicating effectively in routine, sensitive, and confidential matters, maintain control of visitor entrance.
- Processes a variety of documents and materials (e.g. timekeeping, absence management, purchases and bank reconciliation, mileage reports, and other accounting processes)
- Compiles, designs marketing for, publishes, and promotes early childhood events on SJSD’s website, social media outlets and monthly newsletter
- Responsible for data entry, maintenance, and file retention for all PAT services
- Schedules early childhood screenings and screeners, oversees file maintenance and record retention
- Maintains inventory of supplies and materials for all PAT operations
- Support Parent Educators with recruitment initiatives and school collaboration
- Collaborate with ECSE and ELC administrative assistants frequently to ensure a continuum of services
- Coordinate arrangements for conferences, meetings, travel, etc.
- Participate in professional learning activities and attend all meetings as required.
- Performs other duties as assigned
