Coordinator, Participant Recruitment and Retention Program

Location: San Diego, CA. 

The USC Keck School of Medicine - Alzheimer’s Therapeutic Research Institute (ATRI), located in San Diego, California is an academic institute comprised of scientific collaborators committed to advancing the development of new treatments for Alzheimer’s disease through innovative clinical trials.

This position is based in the ATRI Section of Recruitment, Engagement, and Retention (RER) under the direction of Prof. Raman and will report to Dr. Molina-Henry. This position will support the administrative, operational and strategic needs for the Section leadership and associated faculty. This role is dedicated to supporting, and implementing initiatives and programs aimed at timely and efficient enrollment and sustained retention of study participants engaged in ATRI-managed studies

The Coordinator will support, facilitate, and coordinate all section level initiatives and projects. They will provide administrative project management to faculty across multiple projects. They will organize teleconferences, meetings, and training sessions, and prepares meeting minutes. They will communicate and interface directly with faculty and staff and oversee timelines and milestones to ensure that targeted deadlines are met.

Key Responsibilities include but are not limited to:

  • Support and facilitate all RER Section-level initiatives and projects.
  • Provide administrative project management for faculty, including planning, tracking, and reporting on activities across multiple projects.
  • Organize teleconferences, meetings, and workshops, ensuring timely follow-up and execution of action items.
  • Prepare meeting agendas, minutes, and project documentation for stakeholders.
  • Develop and maintain project tracking systems to ensure that deadlines, deliverables, and milestones are met.
  • Serve as a primary point of contact between faculty, research staff, and external collaborators regarding recruitment and retention efforts across studies.
  • Facilitate communication between internal and external stakeholders to ensure smooth implementation of recruitment and retention strategies across studies.
  • Maintain accurate records and documentation, ensuring compliance with institutional and federal regulations.
  • Utilize REDCap and/or other relational databases to manage study-related data and reporting.

Minimum Qualifications

  • Education: Bachelor’s degree in Public Health, Psychology, Neuroscience, Clinical Research Administration, or related field. Master’s degree preferred.
  • Experience:
    • At least 2 years of experience in research, academic, or healthcare settings.
    • Prior experience supporting clinical trials or research studies is highly desirable.
    • Experience with data management tools such as REDCap and other relational databases.
    • Experience working with cross-functional teams and academic professionals in a research environment.

  • Ability to troubleshoot challenges in participant engagement, study coordination, and recruitment tracking.
  • Experience working within cross-functional teams and across academic disciplines.
  • Strong interpersonal skills, with the ability to engage and maintain relationships with faculty, researchers, participants, and external partners.
  • A proactive mindset with the ability to anticipate needs and take initiative.
  • Comfort working in a dynamic research environment, adjusting priorities as needed.

The hourly rate range for this position is $29.19 - $37.25.
