Hiring Hub is currently recruiting for an administrative assistant for one of our top clients.

Job Summary :

The Administrative Assistant provides high-level administrative support to the organization by handling office tasks, managing schedules, and ensuring efficient operations. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with professionalism and discretion.

Key Responsibilities :

Administrative Support :

Manage and maintain calendars, scheduling appointments and meetings.

  • Prepare, proofread, and edit correspondence, reports, and presentations.
  • Organize and file digital and physical documents.

Office Management :

Oversee general office operations, including supplies inventory and equipment maintenance.

  • Coordinate with vendors and service providers.
  • Ensure the office environment is organized and conducive to productivity.
  • Communication :

    Serve as the point of contact for internal and external stakeholders.

  • Respond to emails, phone calls, and other communications promptly.
  • Relay messages and information to appropriate team members.
  • Event Coordination :

    Assist in planning and organizing meetings, conferences, and company events.

  • Prepare agendas, materials, and take detailed meeting minutes.
  • Data Management :

    Maintain accurate records, databases, and filing systems.

  • Compile data and create reports as requested.
  • Support to Management :

    Conduct research and prepare documents for meetings or projects.

  • Handle travel arrangements, including booking transportation and accommodations.
  • Other Duties :

    Perform additional tasks as assigned by supervisors or management.

  • Adapt to changing priorities and demonstrate flexibility in handling multiple assignments.
  • Qualifications :

  • Education : High school diploma or equivalent (required). Associate's or Bachelor’s degree in Business Administration or related field (preferred).
  • Experience : 2 years of administrative experience or in a similar role.
  • Desired skill : Active Notary license
  • Skills :
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.

  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Ability to work independently and collaboratively.
  • Attention to detail and problem-solving skills.
  • Working Conditions :

  • Office environment with occasional remote work opportunities.
  • May require occasional lifting of items up to 20 lbs.
