About This Position The Office Coordinator plays a key role in ensuring the smooth functioning of office operations by providing excellent customer service, managing communications, and offering proactive administrative support while ensuring efficient front desk operations. This position requires strong organizational and people skills, as well as a keen eye for detail. Essential Functions, Duties, and Responsibilities Answer and direct phone calls to the appropriate departments or individuals. Greet and assist visitors, ensuring they are properly directed. Key member of the Safety Team and building security Primary contact for building condition reports (unsafe conditions, spills, smells, leaks, HVAC concerns, etc.) reporting them to supervisor. Support vendor relationship management Record Check-in and check-out times. Organize escort(s) as needed. Log / report progress, finding and issues to management. Review, prepare and mail invoices. Maintain and update email and phone rosters. Assist with company mail and parcel distribution both inbound and outbound. Assist with keeping the back dock clear of unclaimed packages. Assist with keeping the FedEx shipping area stocked with necessary supplies. Order and restock break rooms, office supply depots and janitorial supplies with essentials as needed. Assist with Corporate Service Team Projects. Other duties as assigned. What You'll Need High school diploma or general education degree (GED); or 2-3 years related experience and / or training; or equivalent combination of education and experience. Must be at least 18 years of age. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write correspondence and routine e-mails. Ability to speak effectively before groups of customers or employees of organization. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Professional and friendly demeanor. Meticulous with strong organizational skills. Persuasive communication and customer service skills. Ability to multitask and manage priorities effectively. General office machine experience. Professional appearance. Proficiency in Microsoft Office and email management.
