Responsibilities:
As the Office Manager, you will play a vital role in overseeing the daily operations of our office. Your responsibilities will include:
- Managing customer communication through various channels to ensure prompt responses and maintain high levels of satisfaction.
- Fostering team communication, collaboration, and accountability to create a cohesive work environment.
- Understanding and monitoring Key Performance Indicators (KPIs) to achieve organizational goals and drive performance improvements.
- Reviewing and managing ongoing projects to ensure timely progress and completion.
- Efficiently scheduling service calls, repairs, and installations while prioritizing urgent requests to optimize workflow.
- Communicating with technicians throughout the day regarding call status and schedule adjustments to ensure smooth operations.
- Handling parts ordering and pickup to facilitate job scheduling and minimize delays.
- Confirming proper documentation by technicians and ensuring adherence to established procedures.
- Reviewing and confirming new estimates on relevant platforms while actively following up with customers to ensure clarity and satisfaction.
- Monitor maintenance plans, including renewals, activations, and appointment scheduling.
- Coordinating installations by communicating with customers, managing deposits, and scheduling staff effectively.
- Processing and managing warranties, including submitting claims and ensuring receipt of funds.
- Overseeing staff payroll, accounts receivable/ collecting deposits of jobs, and general managerial responsibilities.
- Monitor fleet operations to ensure efficient vehicle use and maintenance.
Qualifications:
- Previous experience in office management is required; experience within the HVAC or construction industry is a plus.
- Strong communication skills with expertise in professional interactions with external companies.
- Proven ability to manage fleet operations efficiently.
- Excellent organizational skills with the ability to adapt in a dynamic environment.
- Tech-savvy with independent problem-solving capabilities.
- Experience in insurance management (GL, Auto, WC), contractor license management, and branch coordination is preferred.
- Previous experience with Field Edge programs / Service Titan program is a plus.
