AC Controls (a Kele Company) has been providing superior products and services since 1960 for process and combustion applications, offering systems integration services, combustion & process control systems, and distribution of industrial instrumentation, controls, and valves to the process and power industries in the southeast.
We are in search of a professional Administratvie Specialist who will be responsible for supporting AC Controls in various capacities, serving as the first point of contact for most customers and visitors, answering and processing incoming phone calls, coordinating all front desk activities, and assisting with projects and clerical duties.
Essential Responsibilities
- Greets all visitors in a professional, welcoming manner, and answers incoming phone calls, qualifying and forwarding them to the appropriate personnel/department
- Performs clerical and office duties as needed to support AC Controls
- Assists the sales, purchasing and accounting teams with administrative tasks such as data entry, report generation, and customer correspondence
- Monitors the Order Entry email group and forwards any incoming emails to the appropriate party
- Assists in the coordination of office events, celebrations, and team-building activities
- Assists branch with a wide variety of tasks and projects as assigned
- Retrieves incoming mail from mailbox and opens, sorts, and delivers mail
- Maintains office supply inventory
- Coordinates logistics for sales meetings, including scheduling, agenda preparation, and document distribution
- Provides administrative support to members of the leadership team, including meting coordination, making travel arrangements, and expense reporting as needed
- Coordinates with vendors and notifies management of any issues or upcoming contract renewals
- Manages office technology to include phone system issues, printers and scanners, and postage machine, escalating issues to information technology support as needed
Preferred Qualifications
- High school diploma or equivalent
- Two years of related work experience
- Proficiency in Microsoft Office and the ability to learn and use company software
- Professional verbal and written communication skills
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
- Discretion and confidentiality in handling sensitive information
