Job Summary
The Service Coordinator plays a vital role in ensuring the smooth operation of our services by managing schedules, coordinating team activities, and providing administrative support. This position requires excellent organizational skills and the ability to communicate effectively with both clients and team members. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks simultaneously.
Responsibilities
- Create a professional and inviting office environment for our agents / clients.
- Maintain and update calendars for team activities, meetings, and appointments.
- Serve as the primary point of contact for clients, addressing inquiries and resolving issues promptly.
- Handle clerical tasks including filing, data entry, and maintaining accurate records.
- Assist in human resources functions such as onboarding new employees and maintaining employee files.
- Utilize office software to create reports, presentations, and other documentation as needed. (Canva experience a plus)
- Social Media posting / promotion
- Manage phone systems to ensure effective communication within the team and with clients.
- Support team management by facilitating communication between departments and ensuring all necessary resources are available.
- Event planning
Requirements
- Proven experience in an administrative or office management role is preferred.
- Strong organizational skills with the ability to manage multiple schedules effectively.
- Proficiency in office software applications such as Google and Microsoft Office Suite (Word, Excel, Outlook).
- Experience with phone systems and clerical duties is a plus.
- Excellent verbal and written communication skills are essential for interacting with clients and team members.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Prior experience in human resources or team management is advantageous but not required.
