Supervisor: Corporate Broker of Record - Keller Williams Heritage
Executive Assistant:
Supports and assists the Broker of Record and Compliance Counsel in their positions of directly and indirectly supervising over 1100 licensed associates. The EA manages email accounts, creating and maintaining files pertaining to communication and correspondence between brokerage and entities, including but not limited to TREC, HUD, Relocation, commission advance companies, lead generation companies and real estate member boards while continuing to monitor and update the broker as to the progress of them.
Duties and Responsibilities:
TREC License:
- Manage the renewal process of associates license - sending 30,60,90 day renewal notices.
- Assist associates with school options and discount codes
- Update license dates / designated supervisor status in Zoho
- Terminate agents who have not met license renewal requirements
- Notify agents of delegated supervisor status - report in TREC - give information on Broker Responsibility requirements
Member Boards:
- Manage listings that have transferred to Broker - correspond with associates, transfer listings to/from brokerages, close out listings of departed associates
- Manage unreported license reports - report to Broker / correspond with associates on their membership dues
- Assist associates on membership to secondary boards with Broker approval of geographical competency
Lead Accelerator Program:
- On-Board / Terminate associates in lead platform programs
- Monitor lead flow / reassignments of leads
- Host on-boarding / training meetings
- Work with MCA on payments/discrepancies and associates accounts
KW Family Referral Network
- On-Board / Terminate associates in Referral Network
- Report enrollment in network to SABOR / NAR
- Set up agent in Quickbooks for billing of monthly fees and referral payments
Other duties
- Attend weekly staff meetings
- Assists broker in relocation company assignment of listings and purchases to KWH associates. Tracks progress of files between relocation, clients, brokerage.
- Assists Broker of Record and Compliance counsel in scheduling conferencing, mediations, and other meetings.
- Supports compliance department with creation of marketing and information for announcement and presentations
- Screens calls into broker or compliance with EA resolving if possible
- Assist Compliance Assistant when needed
- Assist with any other tasks as assigned
Qualifications
Must be an active Texas Real Estate licensed holder with 1-2 years' experience in administration of real estate transactions including listing input, writing and executing offers/contracts and MLS listing input.
Communication with the public, clients, and associates. Ability to handle emotional, difficult, and sometimes irate situations with all the mentioned parties.
Ethics: Respectful, committed, kind, and caring
Organization: Must be highly organized and able to handle many tasks at one time and re-routing of prioritization.
Computer/Technology: Must be proficient in MLS, Command, and Google Suite.
Language Skills: Must have ability to communicate effectively and interpret business details. Presentation skills necessary as well.
Problem solving: EA must be proactive in recognizing and solving problems arising within the position.
Required hours: The location for this position is the Market Center Keller Williams Heritage; 1717 N Loop 1604 E, San Antonio, Tx 78232, The work hours are 8:30-5:30 Monday-Friday. Occasional after hour events and staff functions.

Pay: $41,000.00 - $46,000.00 per year
